Accounting Overview
A cash-basis working view of your income, expenses, and cash position
The Overview (Accounting → Overview) is a cash-basis dashboard that rolls up your paid invoices, recorded expenses, bank transactions, and cash-book entries into a single picture for any period — income, expenses, net profit, VAT position, open receivables, and cash flow. It's a working view to keep a finger on the pulse, not an official filing: the Anlage EÜR and UStVA still live in Reports.
What the Overview shows
A cash-basis (Ist) snapshot of the selected period. Everything counts on the date money actually moved, not the date a document was issued.
- Income (received) — cash actually received on paid invoices and cash-book income in the period.
- Expenses (paid) — cash actually paid on expenses and cash-book outgoings.
- Net profit — income minus expenses, on a cash basis.
- VAT position — output VAT collected minus input VAT (Vorsteuer); your rough Zahllast. Hidden if you're a Kleinunternehmer.
- Open receivables — what customers still owe you right now, with the number of open and overdue invoices.
- Cash flow (net) — money in minus money out across your bank transactions, with a count of any still-unmatched transactions.
Tips
- Each card (except Open receivables) shows a small change badge comparing the period to the equivalent earlier one — same span last year, the previous quarter, and so on.
- For a full calendar year the income, expense, and profit figures match your Anlage EÜR for that year exactly.
Common Pitfalls
- Treating the Overview as a tax return. It's an indicator — file from Reports.
- Expecting a finalised but unpaid invoice to show as income. It only counts once it's marked paid or matched to a bank transaction.
Where the actions are
On every Accounting page the actions come first, directly under the page title — Save, Send, Download, Finalize and the like — so you never scroll to the end of a form to reach them.
- In the quote and invoice editors the action bar stays pinned to the top while you scroll.
- A greyed-out button tells you why: hover it and the tooltip names the reason, for example that you are offline or another session is editing the invoice.
- On a phone (narrower than 640 px) the Accounting pages drop their boxed cards and run the full width of the screen, separated by thin lines; coloured warnings keep their tint. Tablets and desktops keep the cards.
Setup checklist and the Kleinunternehmer limit
Two cards near the top of the Overview appear only when they have something to tell you.
- Finish your invoice setup — shown while your Tax number (Steuernummer or USt-IdNr) or your Bank account (IBAN) is missing, with a tick for each one already filled. Open invoice settings takes you to Settings → Accounting → Invoice settings; the card disappears once both are filled, or when you press Dismiss.
- Kleinunternehmer · § 19 UStG — shown only if you are a Kleinunternehmer*in and have revenue this calendar year. A bar shows the year's revenue against the €25,000 limit, independent of the period you selected.
- At 80 % of the limit the bar turns amber with a note. Above €25,000 a warning says the scheme no longer applies from next year; above €100,000 the card turns red, because the scheme stops applying immediately and open drafts should be finalised under standard taxation.
Tips
- The limit card is advisory: nothing is blocked. Switching to Regelbesteuerung is your decision, made in Settings → Accounting → Invoice settings.
Choosing the period
A row of presets plus a custom range drives every figure on the page.
- Pick a preset: This month, Last month, This quarter, This year (the default), or Last year.
- Or choose Custom and set a From and To date — the figures recalculate when the range is valid.
- The period is kept in the page URL, so you can bookmark or share a specific view.
Tips
- For any period shorter than a full year, a note reminds you the figures are a working view, not your EÜR.
- Open receivables is always a snapshot as of today — changing the period does not change it.
Trends and category breakdown
Below the cards, two views show where the money went.
- Monthly income vs. expenses — a bar per month in the period, income against expenses.
- Expenses by category — your top spending categories as proportional bars, with the rest grouped under 'Other' and untagged spend under 'Uncategorised'. The remaining book value of fixed assets you sold or withdrew in the period appears as its own line, 'Asset disposals'.
- The KPI cards and categories link straight through to the underlying list: Income and Open receivables to Invoices, Expenses and every category to Expenses, Cash flow to Banking, VAT position to Reports. Net profit has no link. The lists open unfiltered — set the period or category there.
Tips
- An all-zero period shows an empty state with shortcuts to create an invoice or log an expense.
Setting up a company
A company is the root of every figure on this page — its VAT status decides how VAT, EÜR and UStVA are calculated. To keep separate books (say, your freelance work and a Gewerbe), turn on Enable multi-company accounting in Settings → Accounting → Companies. A company bar then appears on every Accounting page; + New company opens the company editor, a three-step form.
- Company — name, legal form and currency. The name is the only required field; the legal form decides whether you keep an EÜR or a Bilanz (GmbH and UG are required to keep double-entry books).
- Tax — VAT status (Kleinunternehmer*in or Regelbesteuerung), Ist- or Soll-Versteuerung, and the § 14 UStG identity: Steuernummer, USt-IdNr. and Finanzamt. The step earns its tick once a Steuernummer or a USt-IdNr. exists, because an invoice needs one of the two — but neither is required to save.
- DATEV — Berater-Nr. and Mandanten-Nr., optional, supplied by your tax advisor for the Buchungsstapel export.
- The step rail ticks a step only once its required fields are actually filled, not merely because you passed through it, so it always answers "what is left?". Save is reachable from every step; if something required is missing it jumps you to the step that can fix it.
- On a phone the editor fills the screen with a back arrow at the top left; on a tablet or desktop it stays the familiar centred dialog.
- Manage (on the company bar, or in Settings → Accounting → Companies) lists every company with Edit, Archive and Delete. Delete asks you to Download backup first — German tax law requires you to keep these records for up to 10 years — and then deletes the company with all its invoices, expenses, quotes and bank data for good.
- Disable in Settings → Accounting → Companies only hides the company bar; your data is kept and reappears when you enable it again.
Common Pitfalls
- Switching company while a document is open for editing. The switcher stays locked until you finish editing it.
From the Overview to official reports
The Overview is the day-to-day view; the formal exports live one click away.
- The card at the bottom of the page jumps to Reports, where the Anlage EÜR, UStVA, ZM, and DATEV exports are produced.
- With multi-company accounting on, a company switcher appears at the top and every figure is scoped to the selected company.
- Cash-book entries and sold or withdrawn fixed assets are folded into the figures on their cash date, so the Overview lines up with what you'll report.
Which system keeps the books
Cine Power Planner can hand invoice and quote numbering to sevDesk or Lexware. Exactly one system may keep the books for a company at a time (§ 14 (4) no. 4 UStG), so this is a single choice per company — not a set of switches.
- Settings → Accounting → Invoice settings → System of record.
- Cine Power Planner (the default) allocates every document number and issues all six document kinds.
- sevDesk or Lexware allocate quote and invoice numbers only. Four kinds always stay in Cine Power Planner: Auftragsbestätigung, Lieferschein, Gutschrift and Mahnung — no provider represents them.
- A provider can only be chosen once its API credentials are stored. Until then the option is shown but not selectable, with the reason on the row.
Tips
- The choice is per company. If you run several companies, each one decides separately.
- Switching to a provider asks you to confirm, by name, the four document kinds that stay here. That confirmation is the point — it is what stops a document kind going missing after the hand-over.
Common Pitfalls
- You cannot switch while documents of the current year are still open drafts, because they would leave a gap in the numbering. Finalise or discard them first — the setting names the documents that are blocking it.
- Switching does not move documents that already exist. Numbers already allocated by Cine Power Planner stay with Cine Power Planner.
Use the Overview to answer 'how am I doing this month / quarter / year' at a glance — it's cash-basis and always reconcilable to your EÜR for a full year. When it's time to file, follow the Reports link at the bottom of the page.
