ATA Carnet Generator
Build a German IHK e-ATA carnet bundle from your project gear list
The Carnet tab on a project produces a single ZIP — carnet_{Project}_{YYYY-MM-DD}.zip — containing the ATA Carnet Full List PDF, the IHK Warenliste CSV ready to import into the German IHK e-ATA portal, an IHK Fotos PDF, and an items/ folder with per-item photos. The tab also hosts the briefing-page logistics panels (Vehicles, Transportation, Carts/Accessories) and a Case Packing manager.
What the Carnet tab does
When you're travelling internationally with camera equipment, you need an ATA Carnet. This tab consolidates everything your local German Chamber of Industry & Commerce (IHK) needs into one downloadable bundle.
- Aggregates every gear item in your project, including accessories (rolled up under parent or listed individually).
- Validates each item against IHK requirements (serial number, weight, value, country of origin).
- Produces a single ZIP containing:
ATA_Carnet_Full_List.pdf,IHK_Warenliste.csv,IHK_Fotos.pdf, plus anitems/folder of photos. - ZIP filename pattern:
carnet_{ProjectName}_{YYYY-MM-DD}.zip. - After download, upload
IHK_Warenliste.csvto your chamber's e-ATA portal (e-ata.de) and attach photos for items without serial numbers.
Tips
- The IHK Warenliste CSV is the single most important file in the bundle — it's what the portal imports.
- For items without serial numbers, attach photos in the portal. The IHK Fotos PDF gives you the source images per item.
- The briefing-page logistics panels (vehicles, transport mode, carts) are in the same tab — they feed the project's Briefing PDF, not the carnet bundle itself.
Enabling the Carnet tab
The Carnet tab is off by default. Turn it on per-project when the shoot crosses a non-EU border.
- Open the project workspace.
- Open the project header's '…' menu → 'Configure Tabs'.
- Toggle 'Carnet' on for this project.
- The tab appears in the workspace tab bar — switch to it to start.
Tips
- Only enable the Carnet tab for projects that cross a non-EU customs border.
- Carnet data is persisted whether the tab is visible or hidden — toggling visibility doesn't delete carnet state.
Validation errors
Before exporting, the tab validates every item for IHK-required fields and surfaces a per-item error list.
- What each item needs: a serial number or a photo (one of the two identifies it), a replacement value above zero, and a country of origin. Weight is not an IHK requirement and is not flagged — it only feeds the case totals.
- The carnet header (Carnet declaration) needs a Carnet number, Issued by, an Issue date, an Expiry date and at least one destination country; an expiry date on or before the issue date, or already past, is flagged too.
- Items with missing or malformed fields show a validation badge with the count.
- The 'Export Carnet ZIP' button shows a warning badge if any items or the header still have validation errors.
- You can still export with errors — the button asks for confirmation first — but the chamber may reject the carnet.
Tips
- Click an item with a validation error to open the quick-edit dialog: Serial Number, Replacement Value, country of origin, HS code and weight.
- Quick edits are saved on the project's gear-list row, so the gear list and the briefing PDF see the same value. They do not change your Owned Gear record.
- Customs inspectors check serial numbers and values first — prioritise those.
Exporting the Carnet ZIP
One button does everything: ATA PDF + IHK CSV + IHK Photos PDF + photo folder, all in one ZIP.
- Open the project's Carnet tab.
- Fix any validation errors via the inline Quick Edit.
- Optionally use Case Packing to group items into their physical transport cases.
- Click 'Export Carnet ZIP' in the tab header.
- A progress overlay shows stages: PDF generation, CSV, photos PDF, photo packing. You can cancel mid-export.
- The ZIP downloads with a
carnet_{ProjectName}_{date}.zipfilename.
Tips
- If a photo cannot be loaded (offline or unavailable), the export still completes and the progress overlay says how many photos could not be included.
- The same ZIP can also be exported from the project's Export dialog (Carnet tab) and, for a sub-rental, from the Carnet button on its card.
- Print at least the ATA Carnet PDF for your hand carry. The CSV is for the portal upload, not the border itself.
- Use the e-ata.de link below the export button to open the portal in a new tab.
Common Pitfalls
- Exporting before fixing validation errors. The chamber portal will most likely reject the import.
- Treating the bundle as separate downloads. It's one ZIP file; extract it locally to reach the three documents and the items/ folder.
- Forgetting to upload the
IHK_Warenliste.csvseparately to the portal. The ZIP itself is not uploaded to e-ata.de.
Case Packing
Group items by physical transport case so the export (and your customs inspection) can follow them case by case.
- Under Case Packing, add an Empty Case, or pick a case item from your gear list under 'From template...' and press +.
- Each item under Unpacked Gear has a 'Pack into...' menu — choose the case. 'Unpack' returns an item; deleting a case unpacks everything in it.
- Each case shows its total weight, with a warning when it exceeds the 32 kg airline limit.
- The Full List PDF and the CSV list the packed items case by case, then the unpacked ones, with one totals row. In the items/ folder each case gets its own Case_<name> folder and the rest go into Unpacked.
- The eye-slash button on an unpacked item (Exclude from Carnet) keeps it in the project but off the carnet; it moves to 'Excluded from Carnet', where 'Include' brings it back.
- A row added from the device catalogue weighs its catalogue device unless you set a weight yourself (Quick Edit or Auto-fill — an explicit 0 counts). The tab's Total Weight, every case total, the Full List PDF, the IHK CSV and the per-item text files all declare that one weight, and so does the briefing's Carnet card.
Tips
- Label your physical cases to match the in-app case names. Customs officers will open cases to verify.
- Distribute heavy items across cases for airline limits — separate concern from carnet logic.
- Use Quick Edit to adjust an item's weight while packing — it flows into the case total immediately.
Briefing logistics panels
The Carnet tab is also where the Briefing PDF's logistics page reads its data from. These three lists are independent of the carnet ZIP but live in the same tab. Every field is free text.
- Ground vehicles — 'Add vehicle': type, purpose, plate, driver and capacity.
- Transportation legs — 'Add leg': mode, route, an optional linked vehicle from the list above, date and details. Legs and vehicles print together on the briefing's Transportation card.
- Carts & accessories — 'Add cart': cart name, who it is assigned to, and its contents, one per line. They print on the briefing's Carts card.
Tips
- These panels do NOT appear in the carnet ZIP. They feed the Project Briefing PDF's logistics page.
- Filling them out early means the Briefing PDF you send the crew already has accurate logistics.
Inside the bundle: IHK Warenliste CSV
The CSV inside the ZIP is what you upload to the German IHK e-ATA portal. Column headers and value formats are tuned to the portal's import spec.
- Filename inside the ZIP:
IHK_Warenliste.csv. - Semicolon-separated columns: position, quantity, description (the serial number is appended as 'SN:…', or '(Foto anbei)' when the item has a photo instead), weight, weight unit, value, country of origin, HS code.
- Weight and value are row totals (quantity multiplied in). A row of 1 kg or more is written in 'kg', a lighter one in 'g'; decimals use a period.
- Values are bare numbers with no currency symbol, and nothing is converted — enter replacement values in the currency your chamber expects.
- Item descriptions appear verbatim on the final carnet — double-check spelling and capitalisation.
Inside the bundle: IHK Fotos PDF + items/ folder
Two photo artifacts ship inside the ZIP. The PDF is for printing; the items/ folder gives you raw images for per-item portal uploads.
IHK_Fotos.pdf— each page shows item name, serial number, and product photo. Print or submit with the carnet.items/— one text file per item with its details, plus the item's photo when it has one, grouped in a folder per case. Use the photos when the portal asks for a photo per row.- A photo that cannot be loaded (offline or unavailable) is left out, and the progress overlay says how many were.
- Photos come from your Owned Gear items — set a photo there and 'Auto-fill from owned gear' copies it onto the carnet row.
Tips
- Photograph your own gear (not stock images) for authenticity at the border.
- Generate the bundle as the last step before submitting, so it carries your latest photos and values.
ERPAM-format export is NOT part of the carnet tab — it lives under Insurance (insurance-valuation feature). The carnet tab's job is producing the ATA bundle for the German IHK e-ATA portal.
