Manage your plan and create billing drafts from gear lists
Upgrade to Pro for unlimited projects, manage your Stripe subscription from Settings, and turn rental summaries into billing drafts for Lexware Office or sevDesk.
Subscription & Plans
Cine Power Planner has a Free tier and a Pro subscription. Plan and payment are managed under Settings → Account → Subscription.
- Free tier
- Up to 2 active projects at a time, 5 lifetime Power Calculator runs, 2 lifetime time-tracking project activations and 1 template. The accounting suite (invoices, quotes, expenses, banking, cash book, tax filings), Data Management and a custom PDF accent colour need Pro. The project counter is on active projects — archived and Trash (soft-deleted) projects still count; only 'Delete permanently' from the Trash frees a slot. Power Calculator and time-tracking counters never reset.
- Pro subscription
- Removes the project, Power Calculator, time-tracking and template caps, and unlocks Accounting, Data Management and your own PDF accent colour. A Free account that opens Accounting sees 'Accounting requires a subscription' with an 'Upgrade to Unlock' button; existing accounting data stays stored and synced and can still be exported as a full backup.
- Upgrade runs through Stripe Checkout — card data is entered on Stripe's page, never stored in the app.
- Manage payment method, change plan, or cancel via the Stripe Customer Portal (linked from the Subscription page).
- Settings → Account → Subscription shows current plan status, renewal date, and project usage counter.
- Use 'Refresh status' if the page still shows Free after a recent upgrade — webhook delivery can lag by a few seconds.
- Lifecycle emails: confirmation when the subscription starts, a renewal reminder roughly one month before renewal, renewal confirmation, and a cancellation acknowledgment.
- Open Settings → Account → Subscription.
- If you're not signed in, click 'Sign in to upgrade' and finish the account flow first.
- Click 'Upgrade now', pick 'Subscribe monthly – payment required' or 'Subscribe annually – payment required' in the Upgrade to Pro dialog, and complete the order in Stripe Checkout (business customers can enter a VAT ID there).
- Back in the app, the page shows 'Pro subscription active' with your next renewal date.
- Click 'Manage subscription' to open the Stripe Customer Portal for card updates or cancellation.
- The Usage section shows the project counter (e.g. '1 of 2 free projects used' on Free, 'Unlimited projects active' on Pro).
Tips
- The Free tier covers project planning, gear lists, calculators and PDF export with caps — try them before upgrading. Accounting and Data Management need Pro.
- Cancellation takes effect at the end of the current billing period; you keep Pro access until then.
- No card details ever reach the app — all payment handling stays on Stripe's hosted pages.
Quotes & Invoices Overview
The Billing tab on each project — which hosts invoice drafts, billing, rental costs, and crew rates — is where you turn a rental summary into an invoice. The primary action is '+ Create invoice draft', which opens the in-app invoice editor; pushing to an external provider (Lexware Office or sevDesk) is a legacy, secondary path.
- '+ Create invoice draft' routes to the in-app invoice editor, seeded from the project.
- Line items, quantities, and totals are generated from the project's rental summary.
- Legacy: an external billing provider (Lexware Office or sevDesk) can still receive a pushed draft.
- Contacts and projects can be mapped to existing customers in your accounting tool.
- API credentials are encrypted client-side (AES-GCM, derived from your account password) and synced to Supabase in encrypted form — decryptable only with your password. A local IndexedDB copy is kept as a cache for offline use.
Connecting Lexware or sevDesk (legacy)
The external billing provider is a legacy, secondary path — the primary flow is the in-app '+ Create invoice draft' editor. Set up a provider once if you still push drafts to Lexware or sevDesk.
- Open Settings → Account → Subscription and scroll to the 'Accounting Providers' section — that's where providers are connected, disconnected, and synced (the project's Billing tab only offers an already-connected provider for pushed drafts).
- Pick the provider to connect (Lexware Office or sevDesk).
- Paste the API key or access token from the provider's portal.
- Save — the row should switch to a 'connected' state.
- On any project, the Billing tab will now offer the provider for pushed drafts.
Tips
- Credentials are encrypted client-side at rest and synced to Supabase in encrypted form — they can only be decrypted with your account password, and a local IndexedDB copy is kept for offline use.
- Both providers can be connected at the same time.
- Create a dedicated API key with the minimum scopes you need rather than reusing a primary key.
Important
Treat API keys like passwords — never paste them into chats, screenshots, or shared documents.
Creating an Invoice Draft
Drafts live on the project's Billing tab. The primary action is '+ Create invoice draft', which opens the in-app invoice editor seeded from the project. Pushing to an external provider is a legacy, secondary path.
- Open the project and switch to the 'Billing' tab.
- Click '+ Create invoice draft' to open the in-app invoice editor, pre-filled from the project's rental summary.
- Review line items, quantities, rates, customer, and tax settings in the editor.
- Finalize and send the invoice from the in-app editor.
- Legacy path: to push to Lexware or sevDesk instead, use the external provider section (marked legacy), confirm the provider is connected, generate the draft, then open it in the provider to finalize and send.
Tips
- The in-app editor is the recommended route — it keeps the invoice linked to the project (see 'Linked invoices').
- Legacy: when pushing to a provider, edit per-row rates and discounts in the draft preview before pushing; an unmapped contact prompts you to pick or create a customer there.
- Legacy: pushed drafts stay in 'draft' state in the provider until you finalize them there — they are not sent to clients automatically.
Mapping Contacts to Customers
Link a Cine Power Planner contact to its customer record in Lexware or sevDesk so drafts auto-fill the recipient.
- Each mapping is an ID reference — name and address still live in the provider, not in the app.
- Once mapped, billing drafts auto-populate customer fields for that contact.
- Mappings sync between your devices via cloud sync, but no provider data is uploaded — only the ID link.
- Unmapped contacts trigger a 'pick or create customer' prompt the first time you push a draft.
Tips
- Map your recurring rental clients once to skip the prompt on future drafts.
- Mappings carry across projects for the same contact.
- Mappings can be cleared or replaced any time — they don't lock you in.
Migrating your history out of sevDesk
Separate from the legacy provider push: a one-time import that brings your sevDesk contacts, invoice history and receipts into the app so the subscription can be cancelled. Settings → Accounting → sevDesk-Import.
- While sevDesk is still active, export all three CSVs: Rechnungen, Kontakte and Belege. Download your document PDFs too — the CSVs carry header-level data only.
- Import Kontakte FIRST. sevDesk's invoice export has no customer name in it — only a customer number — so the contacts have to exist before the invoices can find them.
- Import Rechnungen second. Each invoice keeps its original sevDesk number, and its status is worked out from the payment date, the outstanding amount and any cancellation that refers to it.
- Import Belege last, mapping your sevDesk categories onto local expense categories. Your choices are remembered for re-runs.
- Check the per-year totals shown at the preview step against sevDesk's own EÜR before importing.
Tips
- Re-running the same file is safe — documents are deduplicated, so nothing is created twice.
- Every import is a batch with its own Undo button on the first step.
- Imported documents are read-only history and never consume your own invoice numbers.
- Attached document PDFs open from the PDF button in the invoice list, and receipts from the expense's Receipt card. Every click asks for a fresh link, so the originals stay readable for as long as they are stored. Signed out or offline, the app says it cannot open them instead of showing an error page; if the browser blocks the new tab, the message offers Open PDF.
Important
If you import Rechnungen before Kontakte, every invoice falls back to the run-together address line and the preview warns 'customer-unresolved'. Undo that batch, import Kontakte, then run it again.
Credential Security
How API keys and billing credentials are handled.
- API keys are encrypted client-side (AES-GCM, derived from your account password) and synced to Supabase only in encrypted form — they cannot be decrypted server-side without your password. A local IndexedDB copy is kept as an offline cache; keys are never stored in plaintext.
- Encrypted export/import is available so you can move credentials to a new device manually.
- 'Disconnect' on a provider row (Settings → Account → Subscription → Accounting Providers) removes that provider's stored credentials — the local cache and the encrypted cloud copy.
Tips
- Rotate keys on the provider's schedule (or after any suspected leak).
- Use the encrypted export only — don't paste keys into notes or chat apps for backup.
Field Locks on Shared Projects
On a project with collaborators, the billing rental rows participate in the field-lock stream. While another editor is in a field you'll see a <LockedFieldBadge>; editing resumes when they move away.
- rentalOverride
- Per-item day-rate override used in the draft.
- purchaseCost
- Purchase price used in ROI and own-gear calculations.
- Insurance cluster
- insuranceMode, insuranceCost, insurancePercent, and insuranceBase are locked together — touching any one claims the whole cluster until focus leaves.
- insuredValue
- Declared value passed to insurance exports.
Tips
- Row-level locks are independent — two editors can work on different rows of the same billing table at once.

Pro removes the caps and unlocks Accounting, Data Management and your own PDF accent colour; PDF export and the calculators are on both tiers. With Pro, create, finalize, and email invoices right from the in-app invoice editor — or push a draft to Lexware or sevDesk if the final invoice lives in your external accounting tool.
