Call Sheet Reader
Read a call sheet you received, add its days to your calendar and save them into a project
The Call Sheet Reader takes a call sheet another production sent you and has it read by your own AI model. You look at each day, add the days to your calendar and save them into a project of the app, where the Calendar and Driving Mode pick them up. It is the same import as Import external in a project's Call Sheets tab, without opening a project first. Reach it from the sidebar (Additional Tools → Call Sheet Reader).
What you need
The reader uses your own AI model, so the AI integration has to be set up once.
- Switch AI on under Settings → Account → AI Integration, with External call sheet import (day briefs) on, and add your own key for a cloud provider or pick an on-device model.
- Without that, the page says so and Open AI settings takes you there. If you are signed out, it asks you to sign in first.
- A key that is still locked after a reload is unlocked on the page with your account password.
- With a small on-device model the page warns that it can miss or mix up entries, and recommends Gemma 4 12B on a Mac or a cloud model.
Tips
- The line above the file list always says which model will read the sheet and whether the sheet leaves your device.
Reading a call sheet
Add the sheet, have it read, and check the days that come out.
- Press Add PDF, Word, Excel, photo or text files, or paste the text. Several files can go into one read.
- A file you shared to the app and sent to Read it first, without a project is already added when the reader opens.
- Press Read call sheet. A long document shows its progress part by part, and Cancel stops it.
- One document can give several days: one per date, with travel and prep days split out.
- Each day shows its date, day type, start and wrap time and what was read. Days with uncertain values say how many to check against the sheet.
- Under the days you see the model, the tokens used and, for Claude models with a known list price, an estimated cost.
Tips
- Add the schedule and the call sheet together when they came as two files: they are read as one document.
Looking at a day
Before you keep anything, you can open each day and compare it with the sheet.
- Under Look at a day, View opens a day with all its sections: calls, schedule, scenes, cast, locations, hotels, transport, contacts, emergency, production, invoice details and gear.
- Arrows move to the previous and the next day of the same sheet.
- Values the model was unsure of carry a mark with the source page.
- Nothing is saved at this point. A day that is too large to be stored as one day is listed, but cannot be opened.
Reading again and rating
When a read is not right, try a stronger model, and tell us how it went.
- With an unlocked Anthropic key, Claude Sonnet 5.5, Claude Opus 5.5 and Claude Fable 5.1 read the same files again. Use the earlier read goes back to the first result.
- Under How well was the call sheet read? you can rate the read, tick the parts that were wrong and add a note of up to 500 characters.
- A rating sends counts and model details only. Nothing from the call sheet is sent, and you need to be signed in.
Adding the days to your calendar
Tick the days you need and press Continue. The next step offers the calendar and the project.
- Add days to calendar downloads one file with all ticked days. It opens in the calendar app of your device.
- Google Calendar beside a day opens Google Calendar with that day filled in.
- Each entry has the day's start time and its first location. A day without a start time becomes an all-day entry.
- A day without a date cannot go into a calendar; the page says how many there are.
- Add every schedule entry to my calendar downloads a second file: one entry per timed row of the ticked days, each with its address, a Maps link and the contacts the row names.
- A dialog asks first whether to include the estimated blocks: the parts of a combined row, the drive to the hotel after wrap, and data management. They end in "(est.)". With them in, drive times are looked up before the file is written; a drive whose duration cannot be determined has no time, and the dialog says so.
Tips
- An entry made after saving to a project links back to that day in the app. An entry made before saving has no link.
- Downloading the calendar file again after saving updates the entries your calendar already has instead of adding them a second time. The same goes for the app calendar's export and a subscribed calendar feed: they update the entry the reader made.
- The schedule file contains names and phone numbers from the call sheet. Keep it to yourself.
Saving the days to a project
Saved days live in a project. From there the app's own Calendar and Driving Mode show them.
- Under Save to a project, pick an existing project or New project…. A new project is named after the first day's title, and you can change the name.
- Saved days appear in the project's Call Sheets tab, in the Calendar and, on their date, in Driving Mode.
- A project keeps up to 40 imported days, 600 KB for all of them together and 60 KB for one day. Days that do not fit are listed with the reason and are not saved.
- Creating a project counts against the free project limit. When the limit is reached, your read stays on the page: save it to an existing project or add it to your calendar.
- After saving, Open in project, Open calendar and Read another call sheet are offered, and Open Driving Mode when one of the days is today.
Saving an updated call sheet into a project that has the earlier one
When the project you pick already holds a day for one of the dates, the reader asks what should happen to it before it saves.
- Pick the project under Save to a project. Each chosen day whose date the project already holds is listed with three choices: Replace the stored day, Keep both or Skip this day.
- Replace is chosen for you when the stored day comes from a file of a similar name, has the same title or belongs to the same earlier import. Keep both is chosen for you when only the date is shared.
- A replaced day keeps its place in the calendar, its published link, your own notes and your corrections. Where the call sheet changed a value you had corrected, your value stays and the day shows the new call sheet value beside it.
- After saving, the page lists per replaced day what the new version changed. The same note stays on the day in the project until you dismiss it.
- The choices start over when you pick another project. Save days to the project is unavailable while every chosen day is skipped.
Leaving with an unsaved read
The reader stores nothing until you save days to a project, and a read costs tokens on your key. So the app asks before a read is lost.
- Closing or reloading the tab brings up the browser's own question.
- Clicking a link to another page of the app, such as the sidebar, asks Discard this read? first. Keep it stays on the page.
- Discard on the page asks the same question.
- The browser's Back button, and the back button of an Android phone, ask the same question. Keep it stays on the page with the read.
- Adding days to your calendar does not count as saving. The question stops once days are saved to a project.
The reader keeps nothing of its own: a day exists in the app only after you saved it to a project.
