E-Signature
Capture a signature on a document — drawn in the app or sent to a signer
Electronic signatures bind a person to a document: a quote, a sub-rental's handover and return notes, or a crew contract. Most signatures are drawn right in the app, with a name and a consent tick; a crew contract can also go out as a signing link for someone who is not with you. Either way the signature is stored with the document, together with who signed and when.
Two ways to sign
Signing happens one of two ways, depending on who needs to sign and where they are.
- Draw it in the app — you, or the person with you, sign directly on a signature pad. Instant, no email, stored with the document. This is how a customer signs a quote, how renter and rental house sign a sub-rental's handover and return notes, and how either side signs a crew contract inside the app.
- Send a signing link — for crew contracts only. The counterparty opens the link in a browser, without an account, and signs there.
- Your own saved signature can also be placed on a quote or a contract without drawing it again.
Tips
- The in-app pad is the quickest path for a signature captured in person; a signing link suits a counterparty who isn't in the room.
The signature pad
When a customer signs a quote on your device, the 'Sign document' dialog opens. It takes a typed name, a drawn signature, and a consent tick before it will accept the signature.
- Type the signer's name.
- Draw the signature in the box with a mouse, trackpad, stylus, or finger.
- Use 'Clear' to wipe the box and start over if needed.
- Tick the consent box confirming that this is your electronic signature. It is a simple electronic signature and does not meet a statutory written-form requirement.
- Click 'Sign' — it's only enabled once a name, a drawn signature, and consent are all present.
Tips
- On a tablet or phone a stylus or fingertip works well; the box is touch-friendly.
- The signature is captured as a clean image so it stays legible on the printed PDF.
Common Pitfalls
- Expecting 'Sign' to work with just a name — you must also draw something and tick consent.
Sign a quote
A quote has two signature fields: yours and the customer's. Both are set in the quote editor's toolbar.
- Open the quote in the editor.
- Click 'Add my signature' to place the signature saved in Settings → Account → Signature & Branding in your field. 'Remove my signature' takes it off again while the quote is editable.
- When the customer is with you, click 'Customer signs'. They type their name, draw their signature, tick consent and click 'Sign'.
- The toolbar then shows 'Signed by' and the name, and the quote saves by itself.
Tips
- Both signatures print on the quote PDF: in the preview, the download and the PDF attached to the quote email. The online acceptance page shows the quote PDF as well, and once the customer has accepted there, the downloaded PDF prints the signature they gave online.
- Signing is optional — a quote can be sent unsigned, and the customer can accept it online instead.
- 'Customer signs' works only while the quote is a draft; on a sent quote the button is greyed out with the reason.
A signed quote is locked
Once a quote carries a signature, the figures it attests to are frozen. Voiding the signature is the way to make it editable again.
- After signing, the line items, totals and customer details of that quote can no longer be changed — even while it is still a draft.
- In the editor the whole quote turns read-only, notes included, until the signature is voided.
- You can still send a signed quote: issuing it allocates the quote number and freezes the text, but does not change what was signed.
- To correct a signed quote, choose “Void signature” in the quote toolbar and confirm. The quote becomes editable again.
Tips
- Voiding deletes the signature image but keeps a record that the quote was signed and later voided — so the history stays auditable.
- The signature records a fingerprint of the quote as it was signed. If an older quote no longer matches it, the toolbar shows 'Edited after signing — signature no longer matches this quote'.
Customer and handover signatures
Signatures also capture the other side of a deal: a renter accepting a gear quote, or confirming gear at pickup and return.
- A quote from Accounting is accepted online after the postal-code check: the customer reads the quote on the page, enters the name of the person signing and draws a signature or uploads an image of it (PNG or JPEG, up to 2 MB). The accept button stays off until both are there; declining needs neither. The quote then shows 'Signed online' with the name, the time and the signature.
- A renter accepting a gear quote from your public rental catalogue types their name and signs on the acceptance page before 'Confirm acceptance'. For a private customer (consumer) both buttons read 'Order with obligation to pay' instead.
- On a sub-rental's delivery note and return note, the renter and the rental house each sign on the note's signature step, at pickup and again at return.
- Each captured signature is stored with the document along with who signed and when.
Tips
- Capture pickup and return signatures on rental jobs — they're your evidence if condition is ever disputed.
Send a contract for signature
When the crew member isn't with you, send the contract out as a signing link. They open it in a browser, sign, and the contract's status updates — no account needed on their end.
- The contract moves to 'Contractor Signed' or 'Fully Signed' as soon as they sign.
- If the recipient declines, the contract reads 'Rejected' with their reason under 'Rejection notes', and you get an email with the reason. Revise the contract and send it again.
- A link stops working when it expires, when the contract is rejected, and when a revised contract is sent again — so an old link can never be signed against changed text.
- A contract signed on paper is added with 'Upload Signed Contract'; it then reads 'Analog Uploaded'.
- In the contract, click 'Send for Signature' and confirm.
- Click 'Create Signing Link'. Enter the 'Recipient Email', optionally switch on 'Password Protection', and choose when the link expires under 'Link Expires In'.
- Click 'Create Link', then copy the link or click 'Send via Email'.
- The recipient enters the email address the link was sent to (and the password, if you set one), reads the contract, draws or uploads a signature, ticks the terms and clicks 'Sign Digitally'. They can also download the PDF to sign on paper instead, or click 'Decline contract' and say why.
Tips

Match the method to the moment: draw on the pad when the signer is in the room, send a contract signing link when they're not. Either way the signature lands on the document with a name and a timestamp — a clean record you can stand behind.
