PDF Tools
87 browser-based tools for working on arbitrary PDF files
PDF Tools is a collection of utilities for working on PDF files you bring in from anywhere — merge, split, compress, encrypt, sign, convert, OCR, and more. Everything runs in your browser; files are not uploaded anywhere. Reach the page from the sidebar (Additional Tools → PDF Tools). This is a separate surface from the issued documents the app generates from project data (invoices, sub-rental quotes, delivery/return notes) — those carry their own branding automatically.
How PDF Tools work
Every tool runs locally in your browser. No file leaves your device — no upload, no remote processing.
- Drag-and-drop input. Drop a file on the tool page or click to pick.
- Processing happens in-page. Larger files take longer; the browser tab is busy while it runs.
- Result downloads when ready. No 'session' is kept on a server.
- Works offline once the app is loaded (PWA install caches the tool code). The exceptions are Linearize PDF and OCR PDF: they download their engine the first time you use them.
- Tools remember their settings on this device: page size, layout, resolution, fonts, margins, header and footer text, watermark text and position, the rotation angle, the OCR language and so on reopen as you left them. Only settings are kept, never a file, image, password, signature or text from a PDF.
Tips
- These tools operate on PDFs you bring in. They are not the same surface as the issued documents the app generates from project data (sub-rental quote, ZUGFeRD invoice, delivery / return note). Those auto-stamp your logo, signature, IBAN, and Tax/VAT ID from Settings.
- To brand documents issued from within a project, configure Settings → Account → 'Signature & Branding' and Settings → Account → 'Billing & Issuer Details'. The stamp is automatic on every issued PDF.
- To brand an arbitrary external PDF (a contract you received from someone else, for example), use Sign PDF / Add Watermark / Add Stamps from this page.
Finding a tool in the list
The dashboard groups all 87 tools into eight categories. The search box above them filters by tool name, by the feature keywords under each name, by category, and by the everyday words people use for a tool.
- Search matches in English AND German, whichever language the app is set to. On the German dashboard, 'zusammenführen' and 'merge' both find Merge PDF.
- The slug works too — typing 'merge pdf' matches the same tool.
- Category names are searchable, so 'secure' or 'schützen' narrows to that whole group — and the result count always matches the cards shown.
- Search knows the words people actually use: 'combine' finds Merge PDF, 'shrink' finds Compress PDF, 'unlock' and 'Passwort' find the password tools.
- A typo is forgiven when nothing matches exactly — 'mrege' still finds Merge PDF, and the page says it is showing close matches.
- Star a tool with the star in its card's corner to pin it to a Favourites row at the top. Favourites are kept on this device.
- Recently used lists every tool you opened — from its category, a search, a link or a carried-over result — not only the ones clicked in the shortcut rows.
- Clearing the box brings back the Favourites, Recently used and Popular shortcuts at the top.
- The search is part of the page address, so Back from a tool returns to your results.
Tips
- Tool names and category headings follow the app language. Switching to German renames the whole dashboard — the tools themselves are identical, only the labels change.
Guidance on every tool page
Each of the 86 working tools' pages carries its own written guidance below the tool itself — what it does, how to use it, and the questions people actually ask about it.
- About — what the tool does and the constraints worth knowing before you start.
- How to use — the ordered steps, including the settings that change the result.
- On a production — where the tool earns its place in real film and photo work.
- Frequently asked questions — the three or four questions that come up most, answered in full.
Tips
- The guidance is written per tool, not templated. Where two tools overlap — Split vs Extract Pages, Rotate PDF vs Rotate Custom, Watermark vs Add Stamps — the FAQ says plainly which one to reach for.
- It is bundled with the app, so it is readable offline like the tools themselves.
Continue with another tool
Every tool ends on a result card: the output's name and size (and how much the size changed), Save As, Change settings and Start over — and, for a PDF, the next tools to use it in.
- Change settings goes back to the tool's options with the same file still loaded — try a lighter compression without uploading the original again.
- Continue with this file lists up to four next steps, such as Compress after Merge or Flatten after Fill Form. Pick one and it opens with the result already loaded, marked 'Carried over from …'.
- All tools takes you back to the list with the file waiting, and the first PDF tool you open starts with it. Dismiss on the banner drops it.
- Nothing is stored: the handed-over file stays in memory for 15 minutes and is gone after a reload or in a new tab.
- Results that are not a single PDF (ZIP archives, images) and password-protected results (Encrypt PDF, Change Permissions) offer no next tool.
Tips
- Merge → Compress → Sign is three steps and one upload.
Organise & rearrange pages
Combining, splitting, and reordering pages — usually the most-used category.
- Merge PDF — combine multiple PDF files into one document.
- Split PDF — divide a single PDF into separate files by page ranges or a page selection, into one file per page, or every N pages.
- Extract Pages — pull specific pages out into a new PDF, in their original order.
- Delete Pages — remove unwanted pages.
- Reverse Pages — flip the page order end-to-end.
- Rotate PDF — rotate all pages by 90 / 180 / 270 degrees.
- Rotate Custom — rotate every page by any angle; the page grows so its corners are not cut off.
- N-Up PDF — place 2, 4, 6, 9 or 16 pages on one sheet.
- Add Blank Page — insert empty pages at any position.
- Alternate Merge — interleave pages from two PDFs (front/back scanning workflow).
- Organize PDF — type the new page order, one number per page (e.g. 3, 1, 2, 4); a page listed twice appears twice, one left out is dropped, and a range like 1-4 is ignored.
- Divide Pages — cut each page into left/right or top/bottom halves, a 2×2 or a 3×3 grid, each section its own page.
- Combine Single Page — stitch every page of a PDF into one continuous tall page.
Tips
- Merge is the workhorse: call sheet + gear list + permit → one document for the producer.
- Alternate Merge is the right tool when you scanned a double-sided document as two separate single-sided runs.
- Extract Pages is faster than Split when you only want a few pages.
- Delete Pages and Extract Pages take typed page ranges — '1-3, 5, 8-10' — with Odd, Even and Invert next to Select all, so a long document needs no clicking through.
- Delete Pages, Extract Pages, Split PDF, Organize PDF and Remove Blank Pages build a new file from the pages that stay: nothing of a removed page is written, links and bookmarks between the remaining pages move with them, and form fields on them keep their values. Attachments, scripts, page labels, tags and XMP metadata are not carried over, and an encrypted PDF is refused instead of being written unreadable.
Edit & annotate
Modify the content or appearance of a PDF.
- Edit PDF — add text boxes, freehand drawings, highlights and images on top of a page. They are saved as annotations, so whoever opens the file can still move or delete them, and the page's own text cannot be changed.
- Add Watermark — overlay text or image watermarks on every page.
- Header and Footer — one header and one footer line on every page, each aligned left, centre or right; Add Page Numbers appends 'Page 1 of 12' to the footer.
- Page Numbers — add page numbering.
- Crop PDF — trim margins or the content area.
- Sign PDF — draw a signature, upload an image of one, or use the signature saved on your account, then place it in the preview and apply it to the current page only, all pages, the first or the last page. The saved one is applied as soon as the tool opens, so a contract can be signed without drawing it again; clearing the pad leaves it one click away.
- Form Creator — add fillable text fields, text areas and checkboxes to a PDF; fields stack down the left of the page you choose.
- Form Filler — fill out an existing PDF form in the browser. The page is rendered beside the field list, and each field gets the control its type needs: a checkbox for a checkbox, a dropdown for a dropdown. Values already in the PDF are loaded so a half-filled form can be finished. Clicking a highlighted box on the rendered page jumps straight to that field, so a form whose field names are unhelpful can be filled by pointing at it. Tick 'Flatten form after filling' to make the values non-editable.
- Bookmark — add, rename, nest, re-target or remove bookmarks / table-of-contents entries. Saving replaces the file's bookmarks with the edited tree, which every PDF reader shows in its bookmark panel. A bookmark that opens a web address shows a link badge with the site instead of a page, and a heading that only groups others shows none; enter a page when editing one to make it a page bookmark.
- Table of Contents — add an A4 contents page in front of the first page, listing the entries you type, with dot leaders to their page numbers.
- Add Stamps — place a PNG or JPG stamp (an approval mark, a logo, a seal) on every page at a position, width and opacity you set.
- Remove Annotations — strip all comments, highlights, drawings.
Tips
- 'DRAFT' watermark on preliminary gear lists is a low-effort, high-clarity signal to the recipient.
- Header and Footer puts the project name and date you type on every page without per-page work.
- Sign PDF lets you sign a rental agreement that arrived as a PDF without printing it.
- Your account signature lives in Settings → Account. Sign PDF offers it on open and the Bewirtungsbeleg section reuses the same one, so it is drawn once and used everywhere.
- Edit PDF autosaves while you work: a couple of seconds after you stop typing, and when you switch tabs, your in-progress version is written to this browser's private storage. If the page reloads — an app update, a tab Safari discarded, a crash — reopening Edit PDF restores the document with your entries, not the blank original. It keeps one document at a time (loading another file or pressing Clear replaces it), and it is a safety net, not a delivery step: use Save As to get the finished file onto your disk.
Security & privacy
- Encrypt PDF — set a password that is needed to open the file (AES-256). To restrict printing or copying as well, use Change Permissions.
- Decrypt PDF — remove the password protection (RC4 or AES, 40- to 256-bit) from a PDF you have the password for: the open password or the permissions password. The copy keeps everything else, but a digital signature in it no longer validates.
- Redact PDF — black out names, numbers and areas so the text underneath is gone (see Redact below).
- Sanitize PDF — remove metadata, annotations and form fields, embedded attachments, bookmarks and page thumbnails.
- Flatten PDF — merge form fields into the page content so they can't be edited. Comments and other annotations stay editable; Remove Annotations deletes them.
- Remove Metadata — clear title, author, subject, keywords, creator, producer and the creation and modification dates. An XMP metadata stream stays in the file.
- Change Permissions — set or modify read / print / copy / edit restrictions.
- Remove Restrictions — lift printing, copying and editing restrictions from a PDF that opens without a password. A PDF that needs one to open goes to Decrypt PDF.
- Linearize PDF — optimise for fast web viewing (progressive loading).
Tips
- Encrypt sensitive budgets or contracts before emailing.
- The page tools refuse an encrypted PDF, and Redact PDF one that needs a password: remove the protection with Decrypt PDF — or Remove Restrictions when the file opens without a password — and continue with the copy. After Decrypt PDF, Redact PDF is offered as the next step.
- Sanitize before publishing a PDF on a website — strips internal-only metadata.
- Flatten a filled form before sending so the recipient can't modify their copy after the fact.
- Linearize PDFs that you host on a website for faster first-page rendering.
- Linearize PDF downloads its engine (about 1.4 MB) on first use, so be online the first time. It runs in the web app and the Mac app, not in the iPhone, iPad and Android apps; there its page says so and opens it in the web app instead.
Redact: black out text and areas for good
Redact PDF removes names, numbers or any area from a document permanently. Every page with a redaction becomes an image with black boxes burned in, so the text underneath is gone — not just covered.
- Type words or phrases, one per line, or switch on a pattern: E-mail addresses, Phone numbers, IBANs. Match case, Whole words only and Use regular expressions narrow the search.
- Every match shows as a dark box on the page preview and as a row in the list, grouped by page. Untick a row — or click its box — to leave that match out; it stays outlined so you can take it back.
- Draw boxes over what the search cannot find, such as a signature or a photo. On a touch screen, turn on Draw boxes first — until then a swipe scrolls the page.
- Pages to black out completely takes ranges like 3, 7-9; those pages come out as solid black pages of the same size.
- Black out and save writes a new PDF named …_redacted.pdf. Pages without a redaction keep their selectable text; Turn every page into an image makes the whole document images instead.
- A scan has no text to search, so the tool offers OCR PDF first. A PDF that needs a password goes through Decrypt PDF first; one with permission restrictions is redacted with every page turned into an image.
Tips
- Edit PDF cannot redact: anything drawn there sits on top of the text, which stays in the file. Use Redact PDF instead.
- Choose High (300 dpi) when a redacted page must print sharply; Standard (150 dpi) keeps the file smaller.
- Scan → OCR PDF → Redact PDF: after OCR, Redact PDF is offered as a next tool with the file already carried over.
Image & text conversion
- Scan Document — use the device camera. Tap-to-capture shutter, auto-detected corners (refinable before warp), perspective correction, multi-page assembly (50-page cap). Import from gallery adds photos you already took. On review, each page takes a filter (Auto, Color photo, Grayscale, B&W (Document), Whiteboard) plus brightness and contrast, and pages can be reordered, retaken, rotated or deleted. “Export PDF” opens an export sheet where you set the file name and the optional Searchable PDF (OCR) text layer before saving. An unfinished scan is offered again the next time you open the tool.
- Image to PDF — JPG / PNG / WEBP / SVG / BMP / TIFF / HEIC → PDF. Every page of a multi-page TIFF becomes its own PDF page, in every browser.
- PDF to JPG / PDF to PNG — image export per page at 72, 150 or 300 DPI, chosen before converting: 150 is plenty for screens, 300 for print. Every page is selected to start with; narrow it on the page grid or type a range such as '1-3, 5'.
- PDF to SVG — each page rendered at 72, 150 or 300 DPI and wrapped in an SVG file. It is a picture of the page, with no editable paths or text.
- PDF to WebP — smaller files at a fixed 90 percent quality, in Chrome, Edge and Firefox. Safari and every browser on iPhone and iPad cannot create WebP: there the tool stops before converting and says so, so use PDF to PNG or PDF to JPG instead.
- PDF to TIFF / PDF to BMP — real TIFF files (baseline, uncompressed RGB) and 24-bit BMP files, one per page, with the chosen DPI stored in the file; several pages download as a ZIP. Nothing is compressed, so an A4 page is about 26 MB at 300 DPI and 6.5 MB at 150.
- JPG to PDF — quick wrapper for the common single-format case.
- JSON to PDF — generate a PDF from structured JSON.
- PDF to JSON — export the document properties, bookmarks, page count and, for each page, its size, rotation and text as JSON.
- TXT to PDF — plain text → formatted PDF.
Tips
- Scan Document is also available inside a sub-rental delivery / return note flow — attached scans are appended to the exported PDF.
- In the iOS and Android app, Capture opens your phone's own camera, with its own flash. In the browser, iOS Safari does not let web pages control the flash, so the flash button only appears on other browsers.
- Image to PDF is the cleanest way to bundle location-scout photos into one shareable document.
Office-document conversion
- PDF ↔ Word (DOCX). Word to PDF writes the text of every table cell, wraps long cell text inside its column, and continues a row that is taller than a page on the next page.
- PDF ↔ Excel (XLSX). Excel to PDF writes each cell on one line; a value wider than its column ends in "...", and long sheets repeat the header row on every page.
- PDF ↔ PowerPoint (PPTX). PowerPoint to PDF wraps each text box at its own width and draws every line down to the bottom of the slide, including Chinese, Japanese and Korean text and long web addresses.
- RTF → PDF. A symbol the standard font lacks, such as a math sign, is drawn from a fallback font that carries only the characters used, so the PDF stays small.
- Chinese, Japanese and Korean text in Word, Excel, PowerPoint and RTF files is set in a font built into the converter. It is added only when the document holds such text, and only the characters used, so the PDF stays small and no font is downloaded from another server. The euro sign, dashes and quotation marks („ “) are drawn too, in the standard font.
- ePub → PDF, Mobi → PDF, FB2 → PDF — e-book conversion. The book's table of contents becomes the PDF's bookmarks; FB2 also takes a .fb2.zip archive.
- PSD → PDF (Photoshop files).
- XPS → PDF (Microsoft XPS).
Tips
- Word → PDF is the standard rental-agreement conversion before sending.
- PDF → Excel is the right call when you need to extract a tabular budget from a vendor's PDF quote.
- Conversion fidelity varies by source document complexity. Tables convert well; heavily formatted layouts may not be pixel-perfect.
- The Word, Excel, PowerPoint, RTF, e-book and XPS conversions are part of the app: they need no download, work offline and run in the web app, the Mac app and the iPhone, iPad and Android apps. Your file never leaves your device. They set the text again in the app's own font, which covers Latin, Greek and Cyrillic script. For Chinese, Japanese, Korean, Thai, Arabic and Hebrew text the converter loads a further font from the app's own server the first time a document needs it (that one step needs a connection; afterwards the script also converts offline). Arabic and Hebrew are set right to left, but alignment and lines that mix directions can differ from the original, so check the result. Characters of other scripts come out blank, and the tool says so under the result. Save legacy .doc, .xls and .ppt files as .docx, .xlsx or .pptx first. PDF to Word gives editable text without pictures, PDF to Excel one sheet per page, and PDF to PowerPoint one picture slide per page.
Metadata & attachments
- View Metadata — title, author, subject, keywords, creator, producer, the created and modified dates, the page count and the PDF version.
- Edit Metadata — set or change title, author, subject, keywords, creator and producer.
- Add Attachments — embed files inside a PDF.
- Extract Attachments — pull embedded files out, as a ZIP.
- Compress PDF — reduce file size at Low, Medium, High or Max, optionally removing metadata, recompressing JPEG images and capping image size.
- Compress Image — re-encode up to 100 JPG, PNG or WebP images at four levels, optionally changing the format and capping the size; several images download as a ZIP.
- Page Dimensions — report every page's size, orientation and matching paper format; nothing is changed.
- Fix Page Size — resize every page to A4, A3, A5, Letter, Legal or Tabloid (A4 and Letter also landscape), scaling the content to fit.
Tips
- Set proper metadata before sending — recipients (and their accounting systems) look at it.
- Attach reference spec sheets inside a gear list PDF instead of sending three files.
- Compress is the cheapest way to make a 200 MB scan-PDF emailable.
Advanced
- OCR PDF — recognise the text in scanned / image-based PDFs (optical character recognition), as a plain-text file or as a searchable PDF that keeps the pages as they look and lays the recognised words invisibly over them.
- Compare PDFs — show two versions side by side, page by page, with a Differences view that tints every changed spot and the share of each page that changed.
- PDF Multi-Tool — rotate every page, delete pages, reverse the order and flatten form fields of one PDF in a single pass.
- Repair PDF — attempt to fix corrupted files.
- Remove Blank Pages — detect and remove empty pages in one run; the Whiteness Threshold decides what counts as blank, and a lower value removes more.
- Posterize PDF — split each page into a grid of tiles (columns × rows, with an overlap), each its own page, to print a large page across several sheets on a regular printer.
- Grid Combine — the first page of each of several PDFs, arranged in a grid on one sheet.
- PDF to ZIP — pack several PDFs into one ZIP archive, unchanged.
- Diff PDF Export — from a project, generates a tracked-changes PDF comparing rental lists.
- Timesheet PDF — exports standardised timesheets from logged Time Tracking hours.
- PDF to Greyscale — convert every colour, in text, graphics and images, to greyscale (saves printer ink).
- Invert Colors — 'dark mode' PDF for screen reading.
- Background Color — put a solid colour behind every page.
- Text Color — give the text one colour; text whose colour the file already fixes keeps it.
- Extract Images — save all embedded images as separate files, at the resolution they were stored in.
- Workflow Editor — sketch a multi-step job as a diagram: drag tools from the Tools sidebar or start from a template, connect them, and save the design under a name. It does not run the steps; use each tool in turn, with Continue with this file.
Tips
- OCR is required to make scanned contracts and spec sheets searchable. Without OCR, search returns nothing inside a scan.
- Compare PDFs is great for review cycles — see exactly what changed between v1 and v2 of a gear list.
- Multi-Tool runs its operations in the order you switch them on: with Reverse Order on before Delete Pages, page 1 in the delete field is the original last page.
- Posterize is the right answer when you need a large schematic on the office laser printer.
