Production Dashboard
Aggregated overview across active productions
The Production Dashboard (Sidebar → Rental Management → Production Dashboard) reports on one project in depth (Single Project) or on all of them at once (All Projects): KPIs, the status pipeline, milestones, missing items, budget against actual spend, and the three analytics dashboards (Project, Rental, Own-Gear ROI) on one page. Widgets can be shown or hidden via the Widget Customizer.
What the Page Aggregates
One screen for the cross-project view, instead of opening projects one by one.
- KPI Cards — Active Projects, Total Budget, Avg Items / Project and Total Labor Cost.
- Status Pipeline — projects broken down by stage (Prep / Active / Wrap / Archived / Other).
- Aggregate Overview — the high-level numbers.
- Production Stats — project, item, and cost stats.
- Milestone Tracker — Pre-Production, First Shoot Day, Wrap and Delivery. The Timeline tab lists the shoot dates with the weather forecast (via Open-Meteo) on each dated entry.
- Missing Items Widget — every overdue missing item across all projects. Click a row to open that project's Rental tab. It disappears when nothing is overdue.
- Budget Timeline Panel + Budget Trend Panel — spending pattern across time.
- Project Comparison Panel — compare key metrics side-by-side.
- Project Analytics, Rental Analytics, and Own-Gear ROI dashboards — the same dashboards covered in 'Analytics & Statistics'.
Tips
- The old
/analyticsURL redirects here. There is no separate Analytics page anymore. - Use this page first thing in the morning to see what changed across all projects and what's coming up.
- Weather requires online access — it's loaded live from our server (Open-Meteo data) when a project has coordinates.
Widget Customizer
The Widget Customizer lets you show or hide the panels on this page.
- Click the gear button (Customize Widgets): in the Single Project toolbar, or above the Overview tab in All Projects.
- Toggle individual widgets on or off with the checkboxes.
- 'Reset' restores the default set.
- Your choice is saved in this browser only. It does not sync to your other devices, and clearing site data resets it.
Tips
- Five widgets can be switched off: KPI Cards, Status Pipeline, Budget Trend, Aggregate Overview and Missing Items. All five are on by default.
- The analytics tabs (Rental Analytics, Project Analytics, Gear ROI) are always there; they are not widgets.
- When the dashboard feels slow, hide widgets you don't actively use — they're still computed in the background but rendering everything takes a moment on large datasets.
Common Pitfalls
- Adding every widget — information overload defeats the point of an overview.
Budget Timeline & Trends
Budget Timeline Panel and Budget Trend Panel surface spending pattern across time and across projects.
- The dashboard budget figure is the SAME grand total as the project's Budget tab — sub-rentals, catering, transport, other expenses, location fees and permits included. If the two disagree, that is a bug worth reporting, not a different definition.
- Timeline plots budgeted vs. actual spending across the production window.
- Trend Panel flags a project that is trending over or near its OWN budget over the last 6 months (no cross-project / workspace-average comparison).
- Actual spend is posted expenses (net of reclaimable VAT) plus approved-timesheet labour from the active company's ledger — the same figure as Accounting → Profitability.
- The trend shows dated Costs and Labor bars per month.
Tips
- Review weekly during active prep — catching an overrun early is much cheaper than reacting after pickup.
- Use the Project Comparison Panel to learn from past similar productions when planning a new one.
- Post expenses and approve timesheets: actual spend is read from the accounting ledger, so costs that are not posted yet show as 0.
Troubleshooting
Common 'nothing's showing' situations.
- No projects → all projects may be archived. Filter to 'All' on All Projects to confirm.
- Timeline tab empty → no shoot dates are set; configure them on the Schedule tab of a project.
- Weather not loading → online access required; weather is a network call to our server.
- Missing Items widget not shown → nothing is overdue; otherwise check the Return Follow-Up workflow per project.
- Actual spend shows 0 → no posted expenses or approved timesheets for the project yet, or they belong to another company than the active one.
Tips
- Cmd/Ctrl + R refreshes the page if a widget got stuck after a slow network round-trip.
- If the dashboard becomes slow with many archived projects, archiving more aggressively doesn't help — it's the data load. Hide widgets you don't need from the Customizer instead.
The Production Dashboard is the daily starting point for cross-project work. Per-project detail still lives in 'Projects'; analytics specifics are covered in 'Analytics & Statistics' and 'Own Gear ROI'.
