Rental Houses
Your vendor directory, your own houses' stock, and how both tie into sub-rentals
The Rental Houses page is your directory of equipment vendors: a built-in catalogue of real rental houses plus the houses you add yourself. Each entry holds the company name, address, phone, email, website, a contact person, payment terms and notes. A house you create can also keep its own gear, publish it as a catalogue, share it with connected crew and show what that stock earned. The page lives in the sidebar under Rental Management. The sub-rental transactions themselves are managed on the Sub-rentals page — this topic covers the directory and the houses.
What the Rental Houses page is for
A persistent, account-wide directory of every vendor you rent from — kept apart from Contacts so vendor fields (contact person, payment terms, website) don't clutter your person-oriented contact list.
- One entry per rental house. Entries belong to your account, not to a project, and sync between your devices with Cloud Sync.
- Two kinds of entry sit side by side: built-in houses (badge Global) and houses you created (badge Local).
- The page opens at Home › Rental Houses, and its back button goes to Home.
- Four tiles and four tabs: All, Favorites, My Houses and Global. A tile and its tab are one filter, so picking a tile opens its tab.
- The tile figures count every house and ignore search and filters. The tab counts and the count line follow them.
- Country and City are in the Filters panel; on a phone Sort, Country and City are in the Filters sheet. Filters in use show as chips with ✕, beside Clear all.
- Sort by Name (A–Z), Name (Z–A), Country or Recently Added. Favorites come first in every sort, and the Favorites tab shows only them. Search, filters and sort live in the page address, so your browser's back button restores your view.
- Tiles are one column. Phone, e-mail and Website on a tile are working links, and the footer shows Items, Sets, Projects, Public link and Mirrors Owned Gear when they apply.
- List view has columns you can resize, move and switch on or off under Columns, saved in your account. Sorted by Country it shows country bands, with your favorites in a band of their own on top. Its headings do not sort: use Sort.
- A star on a built-in house copies it into your houses, with no pricing rules. Removing the star deletes that copy unless you have edited it or it holds gear, a set or a public link; then it stays in your houses without the star.
- Click a house to open its own page. The Search page opens the house itself, and ⌘K also finds built-in houses.
Tips
- Treat rental house entries as long-lived records. Filling one out properly once saves time on every prep.
The built-in rental house catalogue
The app ships with 252 real rental houses across 37 countries — ARRI Rental, Panavision, Panalux, Keslow, Ludwig Kameraverleih, Maier Bros., 711rent, Cine-Mobil, Vantage, Lemac, Ovide and a long tail of regional independents — so most vendors are already there before you type anything.
- Each built-in entry carries the address, phone, e-mail and website the vendor publishes itself. Where a vendor publishes no phone or e-mail the field stays blank rather than guessed.
- Filter by country first, then by city, to cut a long directory down to the houses near your location.
- Built-in entries are read-only. Star one to get your own editable copy, where you can add a contact person, payment terms and notes without touching the original.
- When a built-in house closes it leaves the directory and the pickers, but projects that already used it keep its name, address and phone on the gear list, the pickup and return lists and the PDFs. A renamed house shows its new name on older projects.
- Search matches name, city, country, address and contact person — typing "Munich" or "Panavision" is usually enough.
Tips
- If your house is missing, just add it — your own entries sit beside the built-in ones everywhere a vendor can be picked.
- The built-in list is a starting point, not a price list. Rates and payment terms are always yours to fill in.
Adding, editing and deleting a rental house
Your own houses are created on the Rental Houses page and edited on their House tab.
- A name you already use is refused: the form stays open with what you typed and offers to open that house. Built-in houses are not checked.
- Closing the form with something entered asks first.
- Delete sits in the page header of the House tab while you edit. The confirmation tells you how many projects still use the house, whose gear assignments then show 'Rental (unspecified)', and how many gear items it holds. Deleting returns to the list with Undo.
- Deleting a house takes down its public link and crew share once the Undo offer has ended, and they cannot be brought back after that. Undo in time leaves both as they were.
- Deleting a house never deletes its gear. The items wait under 'Gear without a rental house' at the bottom of the Rental Houses page, and 'Give them a home' opens the move dialog so you can send them to Owned Gear or another house. +N more opens every name.
- A set whose rental house is gone comes back when all its items get a new home.
- That recovery section only appears when there is something to recover.
- Click 'New Rental House' in the page header to open Add Rental House. It has three steps: Basic Info, Contact Info and Business Info.
- Enter the name, the only required field, plus country, city and address.
- Add phone, email, website and the contact person.
- Under Business Info, note the payment terms and, if you want them on record, the Pricing Rules. Monthly Discount and Insurance Rate take 0 to 100, Weekend Multiplier 0.1 to 5.
- Click 'Create rental house'. It works from any step with just a name. The house appears under My Houses and can be picked as a rental provider on gear lists.
- To change it later, open the house, go to the House tab and click Edit. The form above is for new houses only.
Tips
- Payment terms and Pricing Rules are a record for you: they show on the House tab, but no price is calculated from them. Rental summary, budget and quote figures come from the gear's own rates.
- Keep the contact person current. When an account manager changes, an old name wastes prep-day minutes.
- Use one consistent name per house. A rental whose customer carries the house's name is listed on the House tab only while the two names match exactly.
Common Pitfalls
- Leaving the contact person blank and having to dig for a name on a prep day.
- Two slightly different spellings for the same house — the directory shows two vendors. Use the 'Merge all duplicates' banner to consolidate them.
The rental house workspace
Clicking a house opens it as a full page at its own address, under Home › Rental Houses › the house. A house you created has the tabs Gear, Sets, Dashboard and House; a built-in house has only Gear and House, because it holds no stock of its own.
- Gear: this house's stock as Tiles or List, with search, filters and sort. Clicking an item opens its panel.
- Sets: bundles of this house's gear, priced as a package.
- Dashboard: what the stock earned and how hard it worked. Hidden for a house that mirrors your Owned Gear, because that usage belongs to your own gear.
- House: contact details, address, notes, business information, linked projects and sub-rentals; for a house you created also the public link and sharing with crew.
- Page actions are in the header and change with the tab. On the Gear tab, Create set, Add missing data, Export PDF and Share are under More.
- The star button in the page header ('Add Favorite' / 'Remove Favorite') favourites the house, exactly like the star in the list.
- The address carries the house and the tab, so a reload or a bookmarked link lands you back where you were.
Tips
- Built-in rental houses are read-only. Only houses you created can hold gear of their own.
- A linked house has a View Analytics link beside its tabs.
Common Pitfalls
- Looking for the Dashboard on a linked house — it is deliberately absent there.
A rental house's own gear
A house you created keeps a real inventory, with the same fields your Owned Gear has — not a flat list of names.
- Gear has Tiles and List. List has Columns, saved per list. Tiles show Move, Add to Set, Edit and Delete.
- The Filters panel has Categories, Brands and Has Attributes. While you search, results sort by relevance unless you picked a sort.
- The star on an item stars the device, as in Owned Gear.
- The item panel slides in at 480 px from 1024 px up and is a bottom sheet below that. It saves as you type and shows Saved beside the name.
- A house item with no device needs a name; a blank name is not saved.
- Delete shows Undo for 10 seconds, and Trash lists deleted rental house gear. Restore puts an item back on its house without its set links.
- By Category in Export PDF lists the PDF's sections, and a house item's own Category decides its section. House PDFs print the house's logo and accent, or the account's.
- A condition audit on a rental house item on a delivery or return note is saved on that item.
- Open the house, stay on the Gear tab.
- 'Add gear' picks from the device library; 'Add by name' takes free text for anything the catalogue does not know.
- Click an item to open its panel: name, quantity, status, condition, category, asset tag, storage location, RFID tag, notes, photo, serial numbers, purchase information and replacement value, rental pricing (list price or Custom Rates), ATA Carnet, insurance, condition audit, components and the QR label.
- 'Add missing data', under More, lets you pick an attribute and fill it in for every item that lacks it.
- 'Print labels' and 'Export PDF' work exactly as they do in Owned Gear, scoped to this house.
- 'Create set', under More here and in the page header of the Sets tab, bundles this house's gear for quoting and sub-rental.
Tips
- Components can be nested: a rig lists its parts, and each part can be a real item in this house or plain free text.
- A printed QR label for house gear points at this house, not at Owned Gear. Scanning one into a project says so instead of reporting 'not found'. A QR code for gear no longer in the house shows a message.
- Tick several rows for the bulk bar: edit them together, add them to a set, move them, or delete them.
- The condition audit is here too, with the same controls as Owned Gear: switch it on for any item, choose which family's checks it runs, and audit an individual component on its own.
Common Pitfalls
- Expecting a house item to appear in Owned Gear. The two are deliberately separate — a rental house's stock is not your property, and counting it as yours would distort insurance value, depreciation and ROI.
- Deleting an item that is out on a sub-rental. The bulk delete warns and asks you to acknowledge it first.
A rental house's sets
The Sets tab bundles this house's gear. It works like Owned Gear's Sets tab, without what a house does not have, such as availability.
- Create set is in the page header.
- Sets have Tiles and List, and List has a Columns menu.
- Filters cover Pricing, Favourites, Insured as set, Contains sets and Price gap.
- A set's QR code opens that house's set, and labels printed earlier open it too.
Tips
- A linked house has no sets of its own and links to Owned Gear → Sets.
- Deleting a set never deletes the items inside it.
Common Pitfalls
- Expecting a set's Insurance step or Lead item to show up elsewhere. Both save, but on a house they reach no export or shared page.
What this house's gear earned
The Dashboard tab answers two operator questions: what came in, and what sat on the shelf. It appears only for a house that holds its own gear.
- Revenue, Utilisation, Items and Never out for 30 days, 90 days or 12 months.
- Revenue over time, Top earners, and everything that never went out in the period.
- Upcoming lists the pickups and returns of agreed bookings that are still ahead, each linked.
- 'Export report', in the page header, produces the gear list with this summary as a final page. The report states its period on every page and the summary includes Units.
Tips
- The date range lives in the URL, so a link you send shows the same period.
- Revenue is net of VAT, so it can be lower than Total Revenue on the Sub-Rentals page.
- Revenue counts accepted, active, returned, completed, invoiced and archived rentals and confirmed requests, by the house's gear lines. A booking running past the period counts for the days inside it.
- Revenue is never estimated. A booking with no price adds nothing to it.
Common Pitfalls
- Expecting revenue from a rental with none of this house's gear on it, even if the customer has the house's name. What counts is whose gear is on the line.
- Looking here for what you paid a house you rent from. The tab shows what the stock earned, so a project's gear assigned to this house is not counted.
Moving gear between Owned Gear and a rental house
Added something to the wrong place? Move it instead of retyping it.
- Use Move in the item panel or on a tile, or tick several rows and use the bulk bar.
- Pick where it should go: Owned Gear, or one of your rental houses.
- Read the report of everything that will be detached: set memberships, component links, project assignments, sub-rentals, published catalogues.
- Confirm. A toast offers Undo.
Tips
- The item keeps its id and every field, photo, serial and log. Only its home changes.
- A house that mirrors your Owned Gear cannot receive a move, because it holds no items of its own. Unlink it first.
- An item with no device cannot move to Owned Gear until a device is linked in Add Missing Data.
Common Pitfalls
- Assuming the move takes its set memberships with it. It cannot: a set belongs to one surface, so memberships are detached and the report tells you which ones before you confirm.
A public catalogue link for anyone
Under 'Public link' on the House tab, a house you created can publish its stock as a web page anyone with the link can open — no account needed. The page shows no prices, and the link does not serve them either, even with 'Include daily prices' on (that switch is for crew you share prices with). Visitors tick what they need and send you a gear request.
- The page updates as your stock changes; you do not have to republish after every edit.
- Each item appears under its 'Shareable Rental Label' when it has one, otherwise under its name. Set that label with 'Add missing data' on the Gear tab when the internal name is not what a client should read.
- Visitors say whether they are a private person or a business, pick a rental period and send the request. It arrives under 'Public gear requests' on the Sub-rentals page, attributed to this house. The receipt they get at once and the email with your quote are written in the language the visitor used on the catalogue page (German or English). The emails to you are in your app language.
- Turning the switch off takes the page offline; the old address then shows that the catalogue is not available.
- A house's public link has no Rental prices or Gear sets; those stay on Share My Gear.
- Offline, the panel shows the link's last known state and it cannot be changed. Signed out, the panel says so.
- Open the house, go to the House tab and turn on the Public link switch.
- Copy or share the link, or let someone scan its QR code.
- Choose the Link style: 'Random link' (unguessable) or 'Name link' (memorable, built from this house's name).
- 'Show an address on the link' is on by default when the house has an address, and that address is published. Turn it off to keep it off the page, or enter a different address to show, such as your office.
- Drag the categories under 'Category order' into the order visitors should see; Reset restores the default.
- Set the Branding — logo, brand colour, typeface and text size — and click 'Preview link' to see the page at phone or desktop width before anyone else does.
Tips
- On a wide screen the page shows a Requested gear panel beside the list, naming what the visitor ticked; on a phone or tablet it is a bar at the bottom. Open Preview link and switch between Phone and Desktop to see both.
- Preview works before the link is live — use it to judge the look first.
- Notes, serial numbers, purchase prices and insurance details never leave your account.
Common Pitfalls
- Putting a serial number in an item's name and assuming visitors cannot see it — set a Shareable Rental Label, because the name is published when no label is set.
Private customers: withdrawal instructions and withdrawal
A public requester says whether they are a private person or a business. When a private person accepts your quote online, German consumer law applies: they see your withdrawal instructions (Widerrufsbelehrung) and can withdraw from the contract online for 14 days.
- Fill in your company and address under Settings → You & Your Company (the email is your account email). Until all three are there, Send quote is disabled for private requesters.
- Send the quote as usual. The quote page shows your Widerrufsbelehrung and the model withdrawal form, and the customer must confirm they read it before signing.
- If the customer withdraws, the request turns Withdrawn. You get an email and a notification with the reference (GW-…) and the time.
Tips
- The Withdraw from contract / Vertrag widerrufen button stays on the quote link for 14 days after acceptance, even after the link itself has expired. A later withdrawal is still recorded and marked late.
- Nothing else changes automatically: cancel or adjust the sub-rental, contact or invoice yourself, and refund any payment within 14 days.
- A withdrawn request is kept as evidence for three years after the end of its year; declined or expired ones are deleted after 90 days.
Common Pitfalls
- Expecting business requesters to get withdrawal instructions — they do not; the right of withdrawal only applies to private persons.
Linking a rental house to your Owned Gear
A house you created can either keep its own stock or present your Owned Gear as its catalogue. While it is linked, its Gear tab mirrors Owned Gear live and is read-only there: you edit the items in Owned Gear.
- In a project this house takes the place of your own gear: a device you own that you add is assigned to it automatically, and picking it by hand books your unit too. Items switched off in the catalogue stay 'Your gear'.
- If Owned Gear is empty, a linked house shows nothing. Items the house held before linking are not deleted, only hidden behind the mirror.
- Unlinking copies what the catalogue offers into the house's own editable stock; an item switched off in the catalogue is not kept. If the mirror is empty, the house's earlier stock simply comes back, so unlinking never empties it.
- The item panel shows the Owned Gear values as text; edit them through Open in Owned Gear.
- A linked house has no Dashboard tab but a View Analytics link, no sets of its own but a link to Owned Gear → Sets, and gear cannot be moved into it.
- On the Owned Gear page, open More → 'Present as Rental House' and press Link next to one of your own houses.
- Open that house: its Gear tab now says 'This house mirrors your Owned Gear' and lists every owned item live.
- Turn off In catalogue on an item to keep it off this catalogue without removing it from Owned Gear, and on to bring it back.
- To keep a separate stock on the house again, press 'Unlink to edit here'.
Tips
- An empty catalogue right after linking usually means Owned Gear is empty, not that anything was lost. Add your gear under Owned Gear and the catalogue fills itself in.
Merging duplicate rental houses
If the same rental house ended up among your own houses more than once, a 'Clean up duplicate rental houses' banner appears at the top of the Rental Houses page so you can consolidate them in one action.
- The banner shows how many duplicates were found and across how many groups. Matching is both exact and fuzzy (close spellings of the same name), so 'ARRI Rental' and 'Arri Rental' are caught as one house.
- 'Merge all duplicates' keeps one house per group and folds the rest into it. Every gear assignment and pickup appointment that referenced a folded copy is repointed automatically, and the gear and sets of the duplicates move to the house that stays.
- You confirm the merge first; afterwards Undo stays in the toast for a few seconds and moves the gear and sets back.
- Merged-away houses no longer appear anywhere: not in the directory list, the provider pickers, Search, or the vendor counts.
- Close the banner with ✕ if the near-matches are genuinely different houses. It only hides for now and shows again the next time you open the page while it still finds duplicates.
- The public link and crew share of a merged-away house stop once the Undo offer has ended, as when you delete a house. The house that stays keeps its own link.
Tips
- Merge duplicates before a busy prep period. A vendor split across two entries otherwise splits its gear across two pickup cards and two budget rows.
- Consistent company names prevent duplicates in the first place — this mirrors the same de-duplication you get for Contacts and project Crew.
Linked projects and sub-rentals
The House tab lists where this house is in use. Both lists are read-only views — open an entry to work on it.
- 'Linked Projects' lists every project with at least one gear row assigned to this house as a rental provider. Click one to open the project.
- 'Linked Sub-Rentals' lists rentals of the house's gear and rentals with the house's name as customer, with their dates and status. Click one to open it on the Sub-rentals page.
- Either list is hidden while it would be empty.
Tips
- Use the two lists as a quick audit: did we ever work with this house, when, and for which project?
- A rental missing from the list has none of this house's gear on it and a customer name that differs from the house's.
Editing on the House tab
Contact details, address, notes and business information are edited on the House tab. There is no separate edit form.
- The tab has two columns on large screens.
- Edit, Delete, Cancel and Save are in the page header. On a phone Cancel and Save sit in a bar at the bottom.
- A Save that cannot go through stays open and says what is wrong under the field. Pricing values are brought into range on save.
- Leaving an edit with changes asks first.
Tips
- The Public link and Share with crew panels are not part of this form. They stay live while you edit and save on their own.
Comparing vendors
The directory keeps several vendors side by side. A few practical ways to compare them:
- Rental-house entries hold no file attachments — there is no rate sheet to upload. Capture rates and special terms ('Free delivery over €500/day', '48h notice required') in the Notes field so they sit with the house, not buried in emails.
- For a house you created, the Gear tab holds real day rates per item. Those rates flow into the Rental Summary, the Budget tab and any quote built from a project, so a house with its stock entered prices itself.
- Past sub-rentals and projects are the best guide to what a house really costs you, negotiated discounts included — the House tab lists both.
Tips
- Before requesting fresh quotes for a new shoot, look at the last few jobs with each likely vendor. Pricing patterns repeat.
- Keep a working relationship with more than one vendor. Peak-season backup matters, and a single vendor failing on a critical item can sink a shoot.
Pickup and return logistics
The house's Notes field is the natural place for the practical logistics of working with a vendor, and the project's Rental tab keeps the dates in view.
- Worth noting on the house: opening hours (including weekends and holidays), loading-dock or back-entrance access, delivery contacts and on-set delivery options, and late-return charges.
- The Rental Workflow panel on a project shows a pickup/return timeline and warns you when a pickup is within 24 hours, a return is due within 24 hours, or the rental is overdue. Those dates come from the owned-gear pickup appointment first, and otherwise from the project's rental window (which falls back to the shoot schedule) — so the warnings work without entering the dates a second time.
Tips
- Schedule pickup early enough in the day to inspect and test before driving away. Damage found on set is harder to dispute.
- Return at least an hour before close. Production overruns and traffic add up.
- Take pickup-condition and return-condition photos. Both sides benefit when something gets disputed later.
- A rental is not flagged overdue until the end of the due day, not at midnight on it — so a same-day return still reads as on time.
Common Pitfalls
- Skipping the pickup inspection. A scratch you didn't catch then is yours to pay for now.
- Treating 'open until 18:00' as 'returnable at 17:55'. The last hour is for closing routines, not new returns.
Rental costs roll up into the project's Budget tab for end-to-end financial tracking. The directory is what you maintain between projects — the transactions live on the Sub-rentals page.
