Settings
Where everything that isn't a project lives
Settings holds the per-account and per-install configuration — appearance, language, your account profile, billing, the Auto-Gear rule engine, backups, and support. It's in the sidebar under the 'Support' section. This page describes each of the six tabs in order (seven if your account has accounting enabled — an Accounting tab then appears).
The six tabs (or seven with Accounting)
Settings has six tabs along the top of the page — seven if your account has accounting enabled, which adds an Accounting tab. Each holds a self-contained group of options; switching tabs doesn't lose unsaved changes in the others.
- General
- Theme (System / Light / Dark / Pink), language (English / Deutsch), sidebar favourites, notification preferences, calendar sync, and advanced maintenance (hard refresh).
- Workflow
- Gear- and project-workflow defaults: editor behaviour, the Auto-Gear rule engine, export defaults, camera colours, and sub-rental defaults.
- Account
- Sign-in state, profile (display name, photo, contact details), Signature & Branding (logo + signature image for issued PDFs), Billing & Issuer Details, Subscription, and Collaboration.
- Security & Privacy
- Email & Password, Two-Factor Authentication, Sessions & Devices, Agent access, Privacy & Legal, and the Danger Zone (Sign Out and Delete Account).
- Accounting (conditional)
- Only shown when your account has accounting enabled. Sits between Security & Privacy and Backup & Data when present. Holds the accounting-related settings, split into sub-tabs (Companies, Products, Templates, Numbering, Email defaults, Invoice settings, Categories, Banking, Cash registers, E-invoice inbox, Recurring invoices, sevDesk import, Dunning, Quote settings, Quote templates). The sub-tabs sit in the same pill strip the other tabs use for their sections, but each one opens its own page instead of scrolling. Email defaults keeps a subject and a message for German and for English invoices; Quote settings has 'Email text' (subject and message per quote language) and 'Follow-up' (when a sent quote appears under 'Needs follow-up'). Accounts without accounting enabled never see this tab.
- Backup & Data
- Manual full backups, device auto-backup history, cloud safety backups, retention settings, data integrity / cleanup, and the Factory Reset.
- Support
- Bug-report form with screenshot attachments. Recent errors from your session are bundled automatically.
General
Appearance, language, and a few UI choices that don't fit anywhere else.
- Theme — System, Light, Dark, or Pink. This is where you enable dark mode (also called night mode). Applied instantly; no reload required. System follows your OS light/dark preference live, including a scheduled sunset switch.
- Language — English or Deutsch. Switching reloads labels, help content, and date formats.
- Units — Metric (m, cm) or Imperial (ft, in), for your whole account. Every tool that shows a distance follows it: the DoF & FoV Simulator, the Diopter Focus Calculator and the Focus Pulling Simulator. New projects start in it too (Project Info › Settings can still change one project); existing projects keep theirs. Until you choose, a US English browser starts in imperial and everyone else in metric. It syncs with your account, so a second device shows the same units.
- Date format — Automatic, Day first (22/09/2026), Month first (09/22/2026) or Year first (2026-09-22). It sets the order of day, month and year in every date in the app and in PDFs. On Automatic the app and working documents such as call sheets follow the time zone of your device, while invoices, quotes and Mahnungen for English-language customers are day-first on every device. A fixed choice applies everywhere. German texts always read 22.09.2026. It syncs with your account.
- Sidebar favourites — star the pages you open most and they appear in a Favourites group in the sidebar, between Projects and Tools. Under Your favourites, the arrow buttons change their order and × removes one. Favourites follow your account to every device, and a starred page you cannot currently see (for example the admin-only Admin Review) simply stays hidden until it is back.
- Undo Toast — toggle the post-delete undo notification and adjust how long it stays visible.
- Hard Refresh — manual force-reload that clears caches. Useful when the app feels stuck after an update; not normally needed.
Tips
- Theme defaults to System on first launch. You can change it without coming here: press Cmd/Ctrl + K, type 'theme' and pick one, or use the sun / moon / heart icons at the bottom of the sidebar. When the sidebar is collapsed to its narrow rail those three fold into one small button that shows the theme you are on — click it for the list.
- A longer undo-toast duration buys you more time to recover from accidental deletes.
German web addresses (/de/)
Every public page now has a German twin at /de/<path>. This is about links and search results — not about the language you work in.
- Address pairs
- …/landing and …/de/landing are the same page in English and German. The same holds for the tool pages, the PDF tools and the help centre.
- Opening a German link
- A /de/… address shows that page in German. It does not overwrite the language you picked in Settings — open a German link, and the app you come back to is still set the way you left it.
- Switching in Settings
- Still instant and reload-free, exactly as before. It changes the language; it does not move you to a different address.
- What has no German twin
- Your projects, your account pages and anything behind sign-in. Those are private, never appear in search results, and follow your Settings language only.
Tips
- Sending a link to a German-speaking colleague? Use the /de/… form and they land in German even if they have never opened the app before.
- Search engines previously saw only the English pages. If you bookmarked a German page from a search result, the /de/ address is the one worth keeping.
Account and Security & Privacy
The Account tab holds your identity: sign-in, profile, Signature & Branding, Billing & Issuer Details, Subscription, and Collaboration. The sign-in security controls — Email & Password, Two-Factor Authentication, Sessions & Devices, Agent access, Privacy & Legal, and the Danger Zone — live in the adjacent Security & Privacy tab (the shield icon, immediately to the right of Account). Most of these sub-sections are off until you sign in.
- Sign in / Create account (Account tab) — at the top of the tab. The Cloudflare Turnstile check is one-click in most cases. Creating an account needs two separate ticks: confirming you are at least 16 years old, and agreeing to the Terms of Service and Privacy Policy.
- Profile — display name, profile picture, phone, address, company, notes, certifications. Display name + photo show up in chat, comments, and the Sessions list.
- Signature & Branding — upload your logo and a saved signature image. These are stamped onto issued PDFs (invoices, sub-rental quotes, delivery/return notes). Set them once before issuing the first invoice. The PDF accent colour is Pro: on Free the swatches are locked and PDFs use the standard blue, while a colour saved earlier is kept for when you upgrade.
- Billing & Issuer Details — IBAN, Tax/VAT ID, and additional fields stamped onto issued PDFs. Fill once; every future invoice / sub-rental quote / delivery note inherits them.
- Subscription — your plan (Free vs. Pro), 'Upgrade now', 'Manage subscription'. See the Billing section below.
- Collaboration — an 'Enable collaboration features' toggle plus your list of pending collaboration invites (accept / decline).
- AI Integration (Account tab) — connect your own cloud AI key or, in the Mac and iOS apps, an on-device Gemma model. Download a model under On-device model and choose “Use this model”. The choice is kept separately for the Mac app, the iOS app and the browser, and a model counts as Active only on a device where it is installed: a model you picked on the Mac shows no Active badge on an iPhone that does not have it, and receipt scanning there says no on-device model is chosen instead of failing. Download one that fits that device and choose it there. If you choose the on-device model on one device, a device that cannot run it (such as a browser without WebGPU) says so here and hides quote and call sheet reading instead of offering a button that would fail. The Mac app measures its real memory, so a model too large for that Mac is marked “Unavailable on this device” and is never loaded. A desktop browser with WebGPU lists browser builds of Gemma 4, but the web app does not include the on-device runtime yet: there they cannot be downloaded or chosen, and with the on-device model selected the in-app AI buttons stay hidden.
- AI-assisted features (Account tab → AI Integration) — every AI feature has its own switch under the master toggle: quote parsing, call sheet import, receipt reading, expense line items (bulk import), invoice reading (bulk invoice import and dunning), Ask Mr Watts answers, checklist generation and gear-list import conversion. The whole app works without AI — a feature that is off falls back to the manual or offline way (copy-paste prompt, offline receipt extraction, knowledge-base answers). What an online AI provider receives: the text or image you submit to the feature. For Ask Mr Watts that is your question, the earlier turns of the session, the screen you are on and the name of the open project, plus app version, platform and connection state when you ask about a problem. A model on the device sends nothing.
- The remaining sign-in security controls live in the adjacent Security & Privacy tab, not Account:
- Email & Password (Security & Privacy tab) — change either; password resets always go to the email on file.
- Forgot your password? — the reset link from the email lands directly on Security & Privacy → Email & Password, with the form already in recovery mode: it asks only for the new password, never for the old one. Open the link in the SAME browser you requested it from — the link is bound to a one-time verifier that browser stored, so opening it on another device cannot complete the reset. If that happens the app says so and offers a fresh link. If a sign-in link belongs to a different account than the one in use in this browser, the app asks before it switches: switching removes the current account's data from this device, so only continue when you requested that link yourself.
- Two-Factor Authentication (Security & Privacy tab) — enrol an authenticator-app (TOTP) second factor and manage recovery codes. Once enrolled, sensitive actions (delete account, change email/password) ask for a code.
- Sessions & Devices (Security & Privacy tab) — every currently-signed-in browser or device. 'Revoke' ends one session; 'Sign out all other devices' ends every session except the one you are using.
- Agent access (Security & Privacy tab) — issue and revoke access keys that let an MCP-compatible AI agent read and manage your data on your behalf (opt-in, subscription-gated). Every key is revocable here at any time.
- Privacy & Legal (Security & Privacy tab) — three panels plus your Cloud-Sync consent status and a 'Withdraw cloud sync consent' control. Download my personal data (one JSON file of everything the server holds about your account — DSGVO/GDPR Art. 15 and 20), Anonymize Contact (scrub a contact's personal data while keeping the records — a DSGVO/GDPR right-to-erasure helper), and GoBD Z3 export (a tax-audit data export).
- Anonymize Contact, in detail — removes the personal data from the contact record on this device (name, email addresses, phone numbers, address, IBAN, VAT ID, notes, photo, aliases, dietary notes; merged duplicates too) and redacts the server copies that may still change (unissued quotes, contracts, notifications). Issued quotes and invoices stay unchanged, as § 147 AO requires, and the result counts them. Bank transactions linked to the contact's invoices are kept unchanged for the retention period (GoBD) too; the panel shows how many before you confirm. It refuses your own profile contact, a contact linked to a connected crew member's account, a contact with pending or sent quotes, and offline use.
- Download my personal data, in detail (Privacy & Legal) — one JSON file of everything the server holds about your account (DSGVO/GDPR Art. 15 and 20): account and profile, consents, preferences and notifications; every synced record; collaboration (owned projects and snapshots, memberships, chat, activity and edit history, sent invites, shared call sheets with recipient names); accounting and banking (quotes, invoices, products, templates, tax filings, bank accounts, transactions, match rules, sync status); gear and rental (owned gear, gear sets, gear requests with messages and quotes, sub-rental return requests, accessory orders, device overrides); connected crew (requests, connections, what you share and what each connection shares with you); calendar events and feeds, crew availability, operator preferences, feedback, billing drafts, data-management projects, the 7-day email delivery log and your Cine Prompt scripts. Credentials are only listed: for password history, two-factor recovery codes, the encryption seed, billing-provider and AI keys and push tokens the file shows that the record exists and when, never the secret. Private share links (call sheets, calendar feeds, sub-rental requests) and other people's signatures are left out too. If the server cannot read part of your data, the file still downloads and names those tables under export_metadata → incomplete (empty when the export is complete), and the panel shows a warning with the number of unreadable sections instead of "Export downloaded"; request it again later. If you press Cancel in the Save dialog (or close the share sheet on a phone), nothing is saved and the panel says "Download cancelled. Nothing was saved." instead; the GoBD Z3 export panel does the same.
- Danger Zone (Security & Privacy tab) — Sign Out and Delete Account. Before you delete, download your tax records (GoBD) and a full backup with the two download buttons. Then (1) type DELETE, (2) tick 'I have downloaded my data and understand it will be permanently deleted.' and (3) enter your password, plus your 6-digit code if two-factor authentication is on. The confirm button stays disabled until these three are done; the app does not check the downloads for you. Cloud copies (including your tax records) are permanently erased, and then the local data on the device you delete from is erased too and the app reloads — keep the downloaded backup.
Tips
- Profile fields are visible to collaborators on shared projects. Use the display name you want them to see.
- If you don't recognise a session under 'Sessions & Devices', revoke it. That browser can no longer renew its sign-in; the access it already holds runs out within an hour.
On-device decision model (Laya), Mac and iOS apps
An optional small model in Settings → Account → AI Integration that suggests answers to simple questions about a text. It writes no text and reads no images, runs entirely on the device, and works with AI features switched off. Without it the app behaves exactly as before. The section appears only in the Mac app and the iOS app.
- Download and delete — the model is a 1.3 GB download that needs about 1.2 GB of memory while it is in use. The app checks the download against a checksum before using it. Remove deletes it from this device.
- Use the decision model on this account — the master switch. It syncs with your account; the model itself is installed per device, so nothing changes on a device where it is not downloaded.
- Suggest the category of shared files — in the review of shared files, a PDF or image whose text reads as a receipt, a bill or a call sheet is preselected as that. The row says "Suggested by the on-device model" and you can change it. A quote, a contract or anything else gets a one-line note instead. A category you chose yourself is never overwritten. The same happens on the Shared documents page for files you set aside to sort later; there each file is downloaded first, so a suggestion can take a moment.
- Suggest catalogue devices when importing a gear list — a row whose name is not a catalogue device can get a "did you mean …?" line in the import dialog. "Use this device" imports the row under the catalogue name, "Keep my name" takes that back, "Dismiss" removes the suggestion. Nothing is renamed unless you accept.
- Not active with this model — checking bank match suggestions against the purpose text, and checking values read from receipts and invoices. The model was tested on these and is not reliable enough, so the two are listed as not active and change nothing.
- It only suggests — the model acts only when it is confident, and it is still wrong sometimes. Check the category and the device name before you confirm.
- Privacy — document text, file names and gear lists stay on the device. The only network use is the model download from Hugging Face.
Billing (inside the Account tab)
Plan status and the entry points to Stripe. All payment data lives on Stripe — the app never stores card details.
- Plan Status — Free or Pro. Free plan allows 2 active projects at a time (archived and soft-deleted/Trash projects still count; only 'Delete permanently' from the Trash frees a slot). Pro removes the project limit and unlocks unlimited Power Calculator runs, unlimited templates, and time-tracking on every project.
- Upgrade now — opens Stripe Checkout in a new tab to subscribe to Pro.
- Manage subscription — opens the Stripe Customer Portal. Update card, change plan, view invoices, cancel.
- Usage counter — how many of your Free-plan project slots are used. Pro accounts show 'Unlimited projects active'.
- Refresh status — re-fetches the subscription state from Stripe. Useful after a recent change if the displayed status still shows the old value.
Tips
- Cancellation takes effect at the END of the current billing period — Pro features stay active until then.
- Refunds within 14 days of the first purchase: cancel via the Customer Portal, then contact Support.
Auto Gear (rule engine)
The rule engine that adds matching accessories when a triggering device appears in any of your projects. Rules are built in a three-step wizard and apply automatically.
- Three-step wizard: Triggers → Logic → Devices.
- Triggers — about 90 trigger types grouped into Project Context, Crew, Device Name, Device Property, and Project Requirements. Combine with AND/OR.
- Logic — Add Gear, Remove Gear, or Smart Action (computed based on device specs).
- Devices — the items the rule adds/removes when the triggers match. Search the device catalog and assign quantities.
- Multi-camera aware — reads from every camera package (including temporary ones) and merges device data for smart suggestions.
- Smart Power Defaults — defined in the project's Camera Package editor; Smart Battery and Power Plate rules read from them.
- Import / Export rules as JSON, save and load your own rule presets (e.g. a Documentary or Commercial setup you build), or reset to factory defaults.
- Global rules sync to the cloud and apply to all projects. Per-project overrides are possible for niche setups.
Tips
- Start from the factory defaults — they cover the common 'every cable for every body' patterns. Build your own only when the defaults disagree with your workflow.
- Export your rules before resetting. Rebuilding a complex rule set by hand is tedious.
- Compound triggers (e.g. Camera AND specific Battery Mount) are usually more useful than single triggers.
Common Pitfalls
- Overlapping rules that add the same item from two paths — the engine deduplicates, but reviewing for clarity is worth it.
- Forgetting that global rules apply to EVERY project. For one-off setups, use a project-specific rule.
- Editing the rule on one device while another collaborator has the same rule editor open — the editor uses a rule-level lock, so 'locked by other' notices are expected; the lock releases when the other session closes the modal.
Backup & Data
The backup-and-recovery surface. Full coverage is in the 'Backup & Restore' topic — this is just the orientation.
- Backup — Download full backup (manual
.json.gz), Import full backup (merges into current data). - Device auto-backup history — browse recent local snapshots, restore from one.
- Cloud backups — list and restore conflict-time snapshots stored in your account.
- Auto-backup retention — control the per-project rolling window. Daily snapshots are kept ~90 days regardless.
- Cleanup — Clear Orphaned Items, Clear Old Auto-Backups, Clear Cache, Verify Data Integrity, Reset Sync.
- Factory Reset — the danger zone. Read the Backup & Restore topic before pressing this.
Tips
- Download a full backup before any large operation (mass delete, import, factory reset).
- Imports MERGE — they don't overwrite. For 'wipe and replace', Factory Reset first, then import.
Support
Bug-report form. Recent errors from this session are bundled automatically so you don't need to copy them by hand.
- Describe what happened and what you expected.
- Attach up to a handful of screenshots (PNG or JPEG, size-limited).
- Submit. The report includes app version, browser, OS, and recent error logs.
- The same form is also reachable from Help → Support & Feedback. Either path works.
Tips
- Reproduction steps are the single most useful thing to include. 'It broke once' is hard to act on; 'do X, then Y, see Z' is easy.
- One issue per report. Combining several unrelated bugs makes them slower to route.
Settings is the home for everything that isn't a project. Account-level features (sign-in, sync, billing, profile) live in the Account tab; per-install features (theme, language, undo) live in General.
