Shared Documents (share to app)
Send a receipt, invoice, call sheet or gear photo straight from another app — then say where each one belongs
When you share a file to Cine Power Planner from another app — the Android share sheet, or Open With / a drop on the Dock icon in the Mac app — it lands on a triage screen that asks "What are you uploading?". You pick a category for each file, pick its destination, and the app files it into the real feature: a receipt or vendor bill becomes a draft expense, a call sheet opens the Day Brief import, a gear photo becomes an owned-gear item's picture. Anything you do not deal with right away moves to the Shared documents inbox, which syncs across your devices so you can finish on the laptop what you started on the phone. Open the inbox any time from the quick switcher (⌘K → "Shared documents").
What this is for
A way to get a file into the right place without opening the app first, finding the project, and hunting for the upload button.
- Share a file to Cine Power Planner from anywhere your Android phone offers a share sheet — a receipt photo, a PDF invoice, a call sheet somebody mailed you, a photo of a lens. On a Mac, right-click the file → Open With → Cine Power Planner. On iPhone and iPad the app does not appear in the share sheet: the iOS app is built without the Share Extension that needs.
- The app opens a short review screen instead of guessing: you stay in control of where each file goes.
- You can share several files at once; each row is decided separately.
- Nothing is filed until you press Import — until then every file is still just staged.
- Pressing Import confirms what happened — how many files were filed, and separately any that were already imported. Dismissing the screen tells you how many moved to the Shared documents inbox, so a batch you park is never a silent disappearance.
The four destinations
Each file gets one category, and the category decides which feature receives it.
- Receipt — creates a draft expense with the file attached, with the vendor-bill toggle off.
- Vendor bill — creates a draft expense with the vendor-bill toggle on. If the file is an e-invoice (XML or ZIP, or a PDF carrying embedded invoice XML) it goes through the e-invoice reader, which prefills the expense from the structured data. A file that cannot be read falls back to a plain bill draft rather than failing.
- A ZUGFeRD / Factur-X invoice is an ordinary PDF that also carries the invoice as structured data inside it — the format most German suppliers now send. Shared as a Vendor bill, it is read the same way the Import e-invoice button on the Expenses screen reads it: amount, VAT, date, supplier and invoice number are filled in for you, and an invoice you already filed is recognised instead of duplicated. A PDF with nothing embedded still becomes an ordinary bill draft with the file attached.
- Call sheet — opens the Day Brief / External Brief import for a project you choose, with the file already loaded. You can pick an existing project or create one on the spot.
- Gear photo — attaches the image to an owned-gear item you choose, as that item's main picture.
Tips
- "Set all to…" applies one category to every file in the batch — useful after a shoot when you share twelve receipts at once.
Choosing the destination
Two of the four categories need to know WHICH project or WHICH piece of gear.
- Call sheets ask for a project. Pick one from the list, or choose "New project…" and type a name — it is created as part of filing the file.
- Gear photos ask for an owned-gear item; search your own gear by name.
- Receipts and vendor bills need no target — they become draft expenses you review in Accounting.
- Use "Remove file" on any row you shared by accident.
The Shared documents inbox
The holding area for anything you did not file straight away.
- "Move rest to inbox" parks every undecided file so you can deal with it later instead of blocking on it now.
- The inbox syncs across your devices — share on the phone, file it on the laptop.
- Each waiting file can be filed (which reopens the same category + destination choice) or deleted.
- Filing or deleting a file removes it from the inbox on all your devices, and it stays gone after a reload. Before v0.859.6 it was removed only on the device you used: it came back after a reload, and your other devices kept showing it.
- An empty inbox reads "Nothing shared yet."
Tips
- Reach the inbox from the quick switcher: press ⌘K (Ctrl+K on Windows) and type "shared", "inbox" or "upload".
When something does not land
- “Already imported” — the same file was filed before. The app recognises it and does not create a second copy, and it now says so: after Import you get an “Already imported” message instead of a silent success. In the Shared documents inbox the row stays put rather than disappearing, so nothing you uploaded is thrown away — press Delete when you are done with it.
- Deleting an invoice frees it to be imported again. The check looks only at invoices you still have; one you moved to the bin no longer counts as already imported. Before v0.703.52 a deleted invoice stayed blocked forever — the app kept refusing it and pointing at a row that was no longer there.
- "Couldn't import — try again" on a row means that one file failed; the others in the batch are unaffected, so retry just that row.
- A file you filed as a receipt or bill appears in Accounting as a draft expense — it is not booked until you review it.
- If a call sheet import opens but looks empty, the file itself may not be readable text; the Day Brief import screen is where you check that, not here.
- A share that arrives with no file type and no extension — common from messaging apps and Android content links — is now identified by its content instead, so a real PDF or photo goes through even when the sending app tells us nothing about it. ZIP archives are the exception: a bare .zip has to name itself, because that same signature is used by Word, Excel and e-book files as well as by e-invoices.
Sharing into the app never books anything on its own. Receipts and bills arrive as drafts, call sheets arrive in the import screen, and anything you skip waits in the inbox until you deal with it.
