Public, read-only share links for production schedules
The Production Dashboard generates public share links so crew, producers, and external stakeholders can view a project's schedule, locations, and crew without logging in. Links are read-only and can be expiry-bounded or revoked.
What Gets Shared
A read-only public page with the production-essential info — no gear list, no rates, no contacts beyond crew.
- Shoot dates and date range.
- Shoot locations with names and timezones.
- Crew with names or roles (capped to the first 5 entries) — never their rates.
- Nothing else — full gear lists and financial details are not exposed.
Tips
- Recipients don't need an account.
- Each project carries its own link — revoking one doesn't affect others.
- The link includes a cryptographic token, so guessing valid URLs isn't practical.
Creating a Share Link
Per project, from the Production Dashboard.
- Open the Production Dashboard and select the project to share.
- Click 'Share'. The 'Share Schedule' dialog opens.
- Click 'Create Share Link'. The link is created with an expiry of 30 days.
- To change that, pick 7 days, 30 days, 90 days or Never under Expiry and click 'Update expiry'. The period counts from today.
- Copy the link, or show the QR code, and send it via your usual channel (email, WhatsApp, Signal, etc.).
Tips
- Set the expiry a few days after the last shoot day — the crew may need to refer back during wrap, but indefinite exposure isn't healthy.
- The page reflects real-time data — edits inside the app appear immediately on the shared page.
- If shoot dates aren't entered yet, the page will look empty. Generate after the schedule is firm enough to be useful.
Common Pitfalls
- Sharing a link before entering shoot dates — recipients see an empty calendar.
- Setting the expiry to Never — the link stays live until you revoke it.
- Sharing the wrong project's link — confirm the project name before copying.
What Recipients See
Read-only, mobile-responsive, no-login.
- Production Schedule — total shoot days and date range.
- Shoot Dates — each as a badge.
- Locations — names and timezones.
- Crew — first 5 entries, name or role only (no rates), and how many more crew members there are.
- Shooting Schedule — when the project has one: each day with its scenes and its number of shots.
- Data updates in real time — edits in the app show up on the shared page on next refresh.
Tips
- Layout is mobile-responsive — usable on a phone at the location.
- Recipients open the URL directly or scan the QR code from the share dialog; no special app is needed.
- The page uses the same visual language as the main app.
Styling the Gear Catalogue Link
The public gear link (/rh/…) carries your own logo, colour and typography — and you can look at it before you send it.
- Open Owned Gear → Share my gear, or a rental house → Public link.
- Under Branding, pick the logo source: your account logo, or upload one just for this link.
- Pick the brand colour from the swatches, the colour wheel, or by typing a hex code such as #10b981.
- Pick a Typeface — each option is shown in the face it selects, so you can judge it by eye.
- Pick a Text size — Compact, Default, Large or Extra large.
- Click 'Preview link' to see the real page, including changes you have not saved yet, and switch between the phone and desktop widths.
Tips
- The preview is read-only — the request button is inert, so you cannot accidentally send yourself a gear request.
- Every typeface uses fonts already on the reader's device, so the link stays fast and works offline. Nothing is downloaded from a font service.
- Larger text sizes are worth previewing at the phone width: most people open a gear link on a phone.
- Leave the brand colour unset and the link follows the visitor's own light / dark / pink choice instead.
Common Pitfalls
- Expecting a font that is not in the list — custom uploaded fonts are not supported.
- Judging the look only at desktop width when the recipient will open it on a phone.
- Setting a very light brand colour and expecting white text — the header picks the readable text colour for you, so it will flip to near-black.
Managing & Revoking Links
Each project's link is managed in the 'Share Schedule' dialog on the Production Dashboard.
- Open 'Share' for a project to see its link and when it expires.
- Pick a new period under Expiry and click 'Update expiry' to extend or shorten access.
- 'Generate new link' — the old URL is invalidated; a new one is issued.
- 'Revoke link' ends all access. It needs a connection: while you are offline the link keeps working and the app says so.
- A revoked link stops opening on your other devices too: when online, the link is checked with the server first.
Tips
- Use 'Generate new link' if a link was shared with the wrong person — the old URL stops working.
- Sweep links after wrap as part of project closing hygiene.
- Expired links cannot be reactivated — generate a new one if access is needed again.
Common Pitfalls
- Forgetting to revoke after wrap — old data stays accessible.
- Generating a new link without telling the crew — the old URL no longer opens for them.
- Setting an expiry too early — link dies mid-production.
Security Model
Read-only public links + cryptographic tokens.
- Each link carries a unique cryptographic token. Brute-forcing a valid URL isn't realistically possible.
- Shared pages only expose schedule, locations, and crew — never the full gear list or financial data.
- Links can be set to expire or revoked at any time. A project in the Trash is not shown.
- No login is needed to view, which is convenient but means anyone with the URL gets access.
Tips
- Share through private channels (encrypted messages, direct email) — avoid public social media.
- Always set an expiry date.
- If a link is compromised, use 'Generate new link' immediately.
