User Profile & Settings
Manage your account and preferences
Learn how to set up and customize your Cine Power Planner profile. Manage your account settings, profile picture, preferences, and notification options to personalize your experience.
Accessing Settings
Settings are organized into tabs for easy navigation. Access them from the sidebar or keyboard shortcut.
- Click the gear icon in the sidebar to open Settings
- There is NO Ctrl+, shortcut for Settings — use the sidebar or Ctrl+K and type 'settings'
- Settings tabs, in order: General, Workflow, Account, Security & Privacy, then Backup & Data and Support (an Accounting tab appears between Security & Privacy and Backup & Data when your account has accounting enabled)
- The Account tab has subsections (scroll-spy): Profile, Signature & Branding, Billing & Issuer Details, Subscription, and Collaboration; the adjacent Security & Privacy tab holds Email & Password, Two-Factor Authentication, Sessions & Devices, Agent access, Privacy & Legal, and the Danger Zone
- Most settings apply as you change them; profile and account fields are the exception — they have an explicit Save button
- Click the Settings icon in the sidebar
- Select the appropriate tab for the setting you want to change
- Make your changes (profile/account fields need a Save click; other options apply immediately)
- Your preferences persist across sessions and devices (if logged in)
Profile Picture
Add a profile picture to personalize your account and help others recognize you in shared projects.
- Go to Settings → Account tab
- Click 'Upload Picture' or the current avatar area
- Select an image file from your device
- Crop and adjust the image in the editor
- Click 'Save' to apply your profile picture
Example: Uploading a Professional Photo
Setting up your profile for professional use:
- Choose a high-quality headshot
- Crop to focus on your face
- Ensure good lighting
- Save and verify it displays correctly
→ Professional profile picture that builds trust.
Tips
- Use a square image for best results
- Large images are automatically compressed
- The image appears in shared projects and collaboration
- You can remove the picture at any time
Account Settings
Manage your account information including email, name, and contact details.
- Email address (used for account recovery and notifications)
- Display name (shown in shared projects)
- Company or organization name
- Professional title or role
- Contact phone number
- Navigate to Settings → Account
- Edit the fields directly in the Profile section (display name, role, company, phone, address, notes, certifications, licenses)
- Click 'Save' to apply — the Profile section is a single form with one explicit Save button; there are no per-field Edit buttons and no auto-save
- Email is changed in the separate Email & Password section and requires confirmation via a link
Tips
- Use a professional email for business use
- Your display name helps crew identify you
- Company name appears in PDF exports if configured
- Keep contact info updated for project coordination
Billing & Issuer Details
Store your tax / VAT ID and bank details once — they auto-render on every quote, invoice and rental request PDF. Encrypted with your account password and never stored in plain text.
- Tax ID / VAT Details (e.g. USt.-ID DE123456789) — printed in the issuer block of invoices and quotes
- Bank Details for invoices — IBAN, BIC, bank name; rendered as a footer block on sub-rental and gear-request quote PDFs
- Encrypted at rest with your account password — the password is never persisted, the cloud only sees ciphertext
- Synced across devices: enter once on desktop, decrypt on mobile with the same password
- Open Settings → Account → 'Billing & Issuer Details'
- First time: enter Tax ID and Bank Details, then type your account password and click 'Save Securely'
- Returning sessions: type your account password and click 'Unlock' to view or edit the existing values
- Update: change a field, re-enter your password, click 'Update Securely' — re-encrypts and re-syncs
- PDFs that auto-render these details: sub-rental quote, sub-rental ZUGFeRD invoice, sub-rental delivery & return notes, gear-request quote
Tips
- Use the same password you sign in with — there is no separate finance password
- If you forget your password and reset it, you'll need to re-enter Bank/Tax details once — old ciphertext can't be recovered
- Bank details are omitted from PDFs you don't actually issue invoices for (e.g. quote-only flows where you didn't fill the field)
- Combine with Settings → Account → Signature & Branding (logo + saved signature) for fully self-contained, sendable documents
Common Pitfalls
- Mistyping the unlock password — the editor returns 'Invalid password'; nothing is overwritten on a failed unlock
- Saving without filling a field doesn't delete it — empty values just produce empty footer blocks; clear a field explicitly to remove it
- Bank details don't appear on the standard project gear-list PDF export — that document is internal; bank details only ride on issued quotes/invoices/rental requests
App Preferences
Customize how Cine Power Planner looks and behaves to match your workflow.
- Theme: System, Light, Dark, or Pink
- Language: English or German
- Undo Toast: toggle the post-delete undo notification and how long it stays visible
- Open Settings → General
- Find the preference you want to change
- Select your preferred option from dropdown or toggle
- Changes apply immediately
Tips
- Dark mode reduces eye strain in low-light environments
- Set language to match your primary work language
- PDF page options (single vs. multi-page) are chosen at export time in the PDF dialog, not here in Settings
Password & Security
Keep your account secure with a strong password and good security practices.
- Create a strong password with letters, numbers, and symbols (12+ characters recommended)
- Passwords are validated against common password lists for additional safety
- Password history: bcrypt-hashed history prevents reusing your most recent passwords
- Change your password periodically for security
- Use a password manager for secure storage
- Never share your password with others
- Go to Settings → Security & Privacy
- In the 'Email & Password' section, click 'Change Password' to update your password
- Enter your current password, then enter and confirm your new password
- The app enforces minimum strength requirements and rejects commonly leaked passwords
Tips
- Use at least 12 characters in your password
- Include uppercase, lowercase, numbers, and symbols
- Avoid using the same password across services
- Consider using a password manager like 1Password or Bitwarden
Exporting Your Data
Download a complete copy of all your data for backup or migration purposes.
- Export all projects, contacts, and templates
- Data is exported as a compressed backup file (.gz)
- Use this for backups or to migrate to another device
- Import can restore this data on any device
- Go to Settings → Backup & Data tab
- Click 'Download full backup'
- Choose where to save the backup file
- Store the file in a safe location
- Repeat periodically for up-to-date backups
Tips
- Export after major changes to projects
- Store backups in cloud storage (Drive, Dropbox, etc.)
- Keep multiple backups at different dates
- Test restore functionality periodically
Signing Out
Sign out of your account when using a shared device or for troubleshooting.
- Go to Settings → Security & Privacy
- Click 'Sign Out' in the Danger Zone
- In 'Sign Out Options', choose 'Keep Data Offline' or 'Clear Device Data'
- Note: 'Keep Data Offline' leaves your projects in this browser, under the free-tier limit of 2 projects. 'Clear Device Data' removes all local projects and settings from this browser; the copy in the cloud stays
- Sign in again anytime with your credentials
Tips
- On a public or shared computer, sign out with 'Clear Device Data'
- Signing out never deletes the copy in the cloud
- With 'Keep Data Offline' you can still open your local data after signing out
- If changes have not reached the cloud yet, 'Clear Device Data' warns you first: they would be deleted from this device for good
Your profile and settings are saved automatically. With cloud sync enabled, your preferences sync across all your devices.
