About Excel to PDF
Excel to PDF reads an .xlsx workbook and sets each visible sheet as a table on A4 landscape pages: the sheet name as a heading and bookmark, the first row in bold and repeated on every page, then the values. There are no settings; the page format and styling are fixed.
The workbook is unpacked and set on your device and never sent to a server, and the tool makes no other network request, with one exception: a document with Chinese, Japanese, Korean, Thai, Arabic or Hebrew text makes it fetch a font file from the app's own server, once per script; the document itself is not sent. The converter and its main font are part of the app. The text is set in the app's built-in font, which covers Latin, Greek and Cyrillic script. For Chinese, Japanese, Korean, Thai, Arabic and Hebrew text the converter loads a further font the first time a document needs it; characters of other scripts come out blank.
How to use Excel to PDF
- Add an .xlsx workbook. The legacy .xls format cannot be read: save it as .xlsx in Excel first.
- Click Convert to PDF. Sheets are set one after another, each starting on a new page with the first row repeated on its continuation pages.
- Check wide sheets and date columns in the output. Those differ most from what Excel shows.
- Save the PDF.
On a production
A budget top sheet is approved in a meeting and needs to go into the minutes with exactly those figures. Circulating the workbook invites someone to change a cell or recalculate, and produce different numbers a week later. A PDF of the approved values cannot drift — the same goes for equipment lists and timesheets that need filing.
Frequently asked questions
- What happens to a sheet that is wider than the page?
- It is split into blocks of ten columns. The first ten columns are set for all rows, then the next ten below them, and so on, so the text stays legible. Delete columns you do not need in a copy of the workbook before converting if you want a row to stay on one line.
- Are hidden rows, columns and sheets included?
- Hidden sheets are left out. Hidden rows and columns inside a visible sheet are included, because the converter reads every filled cell. If a hidden column holds something confidential, such as day rates, remove it in a copy of the workbook before the PDF goes out.
- Are formulas and number formats preserved?
- Formulas are not: the PDF shows the result Excel last saved. Dates appear as 2026-10-03, times as 14:30 and percentages with a % sign. Other number formats are not applied, so an amount appears without its currency symbol or thousands separator.
- Are cell colours, fonts and merged cells carried over?
- No. The PDF uses its own styling: 8 pt text, light row lines, columns as wide as their content. Merged cells appear as separate cells, and a long cell text wraps inside its column.
