Checklists & Templates

Cine Power Planner provides a robust checklist and template system to streamline gear preparation, subrental tracking, and return workflows. Keeping organized checklists prevents missing equipment and ensures accountability across the production pipeline.

Overview

Checklists are integrated into two primary areas of the application:

  1. Project workspace, Rental tab: the prep checklist, used for internal gear preparation before a shoot.
  2. Subrental Workflow: Used for generating "Delivery Notes" and "Return Notes" when renting gear to/from third parties.

The Template Library

To save time, you can create reusable Checklist Templates. Templates can be applied to any new project or subrental with a single click.

Creating, Editing, or Applying Templates

  1. Navigate to the project workspace Rental tab (prep checklist section) or open a Delivery/Return Note in the Subrental view.
  2. Click Apply Template.
  3. The template picker lists built-in and custom templates. Directly from the list you can:
    • Apply: Replace the current checklist with the template's items (a confirmation appears if your checklist isn't empty).
    • Duplicate: Copy an existing template (especially useful for customizing built-in defaults).
    • Rename: Click the pencil icon to rename a custom template.
    • Delete: Remove a custom template (built-in templates cannot be deleted, but can be duplicated).

Saving a Project Checklist as a Template

If you've built a comprehensive checklist manually inside a project and want to reuse it:

  1. Open the project's Rental tab.
  2. Click the bookmark icon (tooltip: Save as Template). It appears only once the checklist has at least one item.
  3. Enter a name and select the template type. This saves a snapshot of your checklist directly into the library.

Project Preparation (the prep checklist)

The prep checklist is a quick-access list for staging your gear. It lives inside a project's workspace on the Rental tab — the same tab as the rental workflow and rental-house management. There is no tab called "Prep": the checklist is a section of the Rental tab, and this guide called it a tab of its own until v0.778.7. (The multi-project dashboard at / is a different screen entirely and has no checklist on it.)

  • Check/Uncheck: Tap the circle next to an item to mark it complete. A progress bar tracks your overall completion percentage.
  • Add Items: Type into the "Add new item..." field and press Enter.
  • Due Dates: Click the calendar badge on an item to set or change its due date; the small ✕ next to the badge clears it. Items group by date, and overdue items are flagged in the progress dashboard (which can filter by overdue / pending / done).
  • Delete Items: Re-order items using drag-and-drop or remove them using the trash icon (deletions offer an Undo toast).
  • Read-only collaborators can view the prep checklist and pickup lists and export PDFs, but cannot check, edit, or reset anything. The scanning panels below the checklist are hidden from them completely, along with all four toolbar buttons.
  • Pickup Lists: The toggle above the checklist switches to provider-grouped pickup lists. "Reset all" asks for confirmation before clearing pickup checks.

Every action in the checklist header is an icon-only button — the names below are its tooltip, not text on screen. All four are hidden from read-only collaborators.

Note: The prep checklist is synchronized collaboratively in real-time. Team members viewing the project will see items checked off instantly.

Scanning gear out and back in

Below the prep checklist, the check-out / return panel counts the project's own booked gear as it passes a scanner. It takes up to three inputs, all feeding the same matcher so a code means the same thing whichever way it arrives: a camera scan, a hardware reader that types like a keyboard (USB or Bluetooth), and — where the browser supports it — a phone NFC tap.

The NFC button is not always there. It needs the Web NFC API (NDEFReader), which today means Chrome on Android over HTTPS. On desktop, on iOS, and over plain http, the button renders nothing at all rather than offering a control that would fail on every press — so if you do not see it, that is the reason. The camera and hardware-reader inputs work everywhere.

  • Check-out counts units onto the truck; Return counts them back. Switching mode starts a fresh count — check-out progress must never read as return progress.
  • A booked row of three is not done after one beep. The panel shows outstanding, scanned and unexpected — something scanned that nobody booked is a real event (a last-minute add), not an error to swallow.

Continuous (RFID)

A UHF RFID reader is the case-at-a-distance one, and it behaves differently from a barcode gun: in inventory mode it re-reads every tag in its field several times a second. Left to count each read, one case standing in front of the reader passes its booked quantity within a second and the whole load reports as "More than booked".

Tick Continuous (RFID) before you start reading and each tag counts once, however often it is re-read. A repeat says "Already counted" — never "More than booked", because there is no surplus case to go hunting for.

Three things worth knowing:

  • Leave it off for a barcode gun. A trigger pull means one unit, and several gear items share a single printed barcode across their units — suppressing repeats there would quietly under-count the truck. It is off by default.
  • Two cases of the same booked row need two different tags. The panel counts tags, not items, so both count and re-reads of either do not.
  • Put the tag id in the item's RFID tag ID field (Owned Gear → edit the item). Tag ids resolve through the same matcher as barcodes and serial numbers, so nothing else needs configuring.

Subrental Delivery and Return Notes

When subrenting gear to an external production or crew member, managing exactly what went out and what came back is critical.

Delivery Notes

  1. Open your Rental Houses / Sub-Rentals interface and open a transaction.
  2. Click the Delivery (Clipboard) button.
  3. This generates a checklist populated automatically by the gear assigned to that subrental.
  4. Additional missing items can be added, or templates applied.
  5. Capture a Signature natively on the device from the person picking up the gear.

Return Notes

  1. Open the same subrental transaction.
  2. Click the Return (Arrow) button.
  3. Use the generated checklist to verify all returned gear.
  4. Use the condition selectors to flag any damaged or missing items upon check-in.
  5. Capture a Signature to finalize the return liability transfer.

Frequently Asked Questions

Q: Do my templates sync across devices? A: Yes. Your template library is synced to your account via Supabase, meaning custom templates created on your laptop will be available on your mobile device.

Q: Why can't I edit some templates? A: The seven templates that ship with the app are locked, so you always have a clean baseline. The picker marks each one with a Built-in badge — there is no [Default] prefix on the name, which this guide claimed until v0.778.7. To customize one, click Duplicate and modify the copy.
