Insurance & Valuation
Track equipment insurance, fleet valuation, and project-level insurance documentation.
Overview
The Insurance & Valuation module provides three capabilities:
- Fleet Insurance Tracker — Monitor insurance coverage for your owned gear
- Project Insurance Tab — Track insurance requirements per production
- Project ATA Carnet Tab — Manage customs documentation for international productions

Fleet Insurance Tracker
Track insurance policies across your entire owned gear inventory.
Features
- Total fleet valuation — Aggregate replacement value of all owned gear
- Policy management — Track policy numbers, providers, coverage dates, and premiums
- Coverage status — Visual indicators for active, expiring, and lapsed coverage
- Per-item valuation — Individual replacement values linked to owned gear items
Setting Up
- Navigate to the Insurance page
- Your owned gear items are automatically listed with their stored values
- Add or edit replacement values for each item
- Add insurance policy details (provider, policy number, start/end dates)
Deleted gear: items you delete on the Owned Gear page (moved to Trash) are excluded from the fleet list, the valuation totals, and the insurance/ERPAM exports. Restore an item from Trash to bring it back.
The header on a phone (v0.648.5)
Below 768 px the header keeps only ERPAM Export. The Valuation PDF and the guided tour move into a More button beside it, each with its written label — the header was four controls over three rows before, and is two rows now. From 768 px up nothing changed.
Filtering on a phone
Below the tablet breakpoint the six status chips (All, Insured, Expiring, Expired, Uninsured, Excluded) fold behind one Filters button and the sort control moves onto that row; Select All and search stay on screen. From 768 px up the toolbar is unchanged.
Item names on a phone (v0.691.7)
Gear names in the fleet list used to be cut off with an ellipsis — a row read "Alvins Cables 2-Pin to 4x D-Tap S…", which is the one field the row exists to identify. Names now wrap onto as many lines as they need and the card grows to fit, at every width. Long unbroken model strings and German compound words break mid-word rather than lose their tail. The serial number wraps with the name, and the Excluded badge sits beside it rather than squeezing it into a narrow column.
The status, policy count and replacement value below the name re-flow onto a second line rather than running past the edge of the card, so nothing is clipped and the page never scrolls sideways. From 640 px up the row is one line again, with the value column aligned down the list exactly as before.
The same applies inside the two dialogs that list gear: in ERPAM Export the coverage-scope dropdown moves under the item name below 640 px instead of squeezing it to a single character per line, and in Fix Missing Values the euro field takes its own line under the name.
Project Insurance Tab
Each project workspace includes an Insurance tab for tracking production-specific insurance.

ERPAM Export
Export your owned gear inventory as an Excel workbook for insurance documentation. It is not a generic spreadsheet: the file reproduces the official ERPAM "Geräte- und Zubehör-Liste Elektronikversicherung" template exactly — merged header cells, the coverage-scope sub-headers, the template's own column widths and its SUM formulas — so it can be handed over as-is.
ERPAM is simply a common insurer for this kind of kit. There is no partnership; the export exists because their template is the one people are asked for. View conditions (PDF) in the dialog opens their published terms.
How to Export
- Navigate to the Insurance page
- Click ERPAM Export
- Review the mapped categories and item values, set each item's coverage scope, and tick My prices include VAT (gross) if your stored prices are gross
- Click Export — you get

The export uses stock values from the built-in device catalog when available, falling back to manually entered values.
Coverage scope — the four columns
ERPAM prices cover by where the gear is, so every item lands in exactly one of four columns. Set it per item in the dialog, or select several and use Set scope for selected:

Automatic Policy Creation
When you enter a policy number in the export dialog, every exported item automatically receives an ERPAM insurance policy with that number (coverage amount = the item's resolved replacement value), so the fleet list immediately shows those items as insured.
- Items that already carry a policy with the same number are skipped — re-exporting never duplicates policies.
- Gear sets marked "Insured as set" are not touched: their insurance is managed on the set itself in the gear-set editor.
How a set marked "Insured as set" is valued
Consolidating a set replaces its children with a single line, so the whole package is represented by the value carried on the set, not by its contents. That value is optional, and a set consolidated without one used to contribute nothing: its children were already hidden from the list, so their value silently left the fleet total, the ERPAM workbook and the valuation PDF — while the page still reported the remaining gear as fully covered.
The chain is now, in order:
- the set's replacement value, if entered;
- the set's purchase price, if entered;
- otherwise the total of what the set contains, using each child's replacement value (or purchase price, or catalogue value), multiplied by the quantity the set lists.
Step 3 is a floor, never an override — anything you declare on the set wins. Enter a replacement value anyway on packages you insure as a set: a broker generally wants the figure you declare rather than one the app inferred.
In the valuation PDF the two money columns stay distinct. A set that declares only a purchase price still shows "—" under Replacement; the contents total appears there only when neither figure was entered.
- The policyholder name and policy number you enter are remembered and prefilled the next time you open the export.
Valuation PDF
Valuation PDF in the Insurance page header produces the document you send a broker. It comes in two shapes:
- Fleet valuation report — every item with its replacement value, its depreciation and its insurance status, totalled.
- Project insurance report — the same picture for one production, listing the coverage gaps alongside the totals.
Both wear the same house chrome as the rest of the app's documents. Excluded items appear in neither.
When a policy is about to expire
- An item whose policy expires within 30 days is counted as Expiring and gets its own filter chip on the Insurance page.
- Inside the last 7 days, and again on the day itself, an entry is written to your Notification Center naming the provider, the policy number and how long is left.
- Those entries are written while you are on the Insurance page. They are not a background watcher — open the page periodically rather than waiting to be told. Once written, an entry stays in the Notification Center, and a policy you renew and which later re-enters the window is reported again rather than suppressed as a duplicate.
Excluded items raise no expiry entries at all — see Excluding Items from Insurance.
Editing Policies per Device
Click any device row on the Insurance page to open its detail view, where you can add, edit, and delete insurance policies. Changes (including deletions) apply immediately.
Excluding Items from Insurance
Some gear is deliberately never insured: hard drives and media (which ERPAM does not cover at all), consumables, accessories below any deductible, or kit that is catalogued for logistics rather than for cover. Without a way to say so, those items keep coming back as coverage gaps on every review, and have to be deselected by hand on every export.
Tick Exclude this item from insurance and the item is taken out of the insurance picture entirely:
- It is left out of the ERPAM export, the Valuation PDF and the project insurance report.
- It stops counting toward fleet value, the coverage percentage, the uninsured-gap list, the "Incomplete Valuation Data" warning, and policy-expiry notifications.
- It stays visible on the Insurance page with an Excluded badge, and an Excluded filter chip shows how many there are — nothing goes missing.
Where to set it

Nothing is deleted. Replacement value, policies and coverage scope are left exactly as they were, so clearing the flag restores the item everywhere. Undo after a bulk change restores each item's own previous state — a mixed selection is never flipped wholesale.
Excluding every member of a gear set that exports as a single row removes that row from the export altogether.
Use this for gear you have decided not to insure — not for gear you have not got round to insuring yet. The second kind is exactly what the coverage-gap list is for.
